About the Company

We are seeking an experienced Project Manager based in Hanoi with a strong background in the BPO industry, particularly in data annotation, content moderation, or customer service. This role requires strong skills in cross-functional coordination, process improvement, and client/stakeholder management, with a focus on data quality, productivity, and team performance. The ideal candidate should have 2–3 years of project management experience in these sectors, preferably with leading BPO or data annotation companies. The Project Manager will be responsible for preparing, planning, implementing, and tracking projects, ensuring smooth execution at our Hanoi office.

About the Role

We are seeking an experienced Project Manager based in Hanoi with a strong background in the BPO industry, particularly in data annotation, content moderation, or customer service.

Responsibilities

Project Planning & Delivery

• Understand project scope, SOW, requirements, milestones, deliverables, and KPIs.
• Develop and maintain project plans, timelines, and resource plans.
• Coordinate daily project execution and resolve operational issues.
• Monitor project progress, productivity, quality, and delivery performance.
• Ensure project deliverables meet client requirements and agreed standards.

Team & Resource Management

• Plan and allocate PM/PC/QA/agent resources according to project workload.
• Coordinate recruitment, onboarding, and training requirements with HR/TA.
• Monitor team capacity, utilization, attendance, and productivity.
• Develop backup resources and knowledge-transfer plans to reduce dependency on key individuals.
• Coach and support Junior/Mid-level PMs and PCs when required.

Client & HQ Coordination

• Act as the main project contact for clients and relevant stakeholders.
• Coordinate closely with HQ Projects/Operations teams.
• Provide regular project updates, including progress, risks, issues, and action plans.
• Escalate material issues to HQ/Vietnam management in a timely manner.
• Support client meetings, presentations, and project reviews.

KPI, Quality & Cost Control

• Monitor project KPIs, productivity, quality, and delivery performance.
• Work with QA/PC teams to identify and resolve quality issues.
• Monitor project budget, manpower costs, and operational efficiency.
• Identify opportunities to improve project profitability and resource utilization.
• Prepare project reports and management dashboards.

Risk Management & Compliance

• Identify operational, commercial, personnel, and delivery risks.
• Develop mitigation and contingency plans.
• Ensure project operations comply with company policies, contractual requirements, and applicable Vietnamese regulations.
• Maintain appropriate project documentation and audit trails.

Knowledge Management

• Establish and maintain project SOPs, workflows, templates, and documentation.
• Ensure proper handover between PMs/PCs and HQ.
• Maintain project knowledge repositories and lessons learned.
• Ensure every critical project has appropriate backup coverage.

Qualifications

• Education: Bachelor's degree in Business Administration, IT, Data/AI, Foreign Languages, or related fields is preferred.
• Experience: 2–3 years of Project Management experience, preferably in BPO, AI Data Annotation, IT Services, or Outsourcing.
• Skills: Proven experience managing teams of 10+ people. Strong analytical skills with proficiency in Excel/Google Sheets for reporting.
• Language: Solid English communication skills to work effectively with overseas teams and clients. C1 English or above is preferred.
• Attributes: Highly organized, detail-oriented, with a strong sense of ownership and the ability to manage multiple priorities in a fast-paced environment.

Preferred Skills

• Experience with AI training data, data annotation, speech/audio, image/video, POI, or other AI-related projects.
• Experience working with international clients or overseas HQ.
• Experience in process improvement or ISO/SOP implementation.
• PMP or other project management certification is an advantage.
