About The Role
We are looking for a proactive and detail-oriented Sales Admin & Office Assistant to join our team in Vietnam. This role plays a key role in supporting daily sales operations, coordinating with internal and external stakeholders, handling import documentation, and assisting in HR and general office administration. The successful candidate will be a key link between the local office and our APAC regional teams to ensure smooth operational support.
Key Responsibilities
- Sales Administration
- Prepare quotations, sales contracts, and related documents for customers.
- Process customer orders and coordinate deliveries with logistics and warehouse teams.
- Liaise with overseas suppliers on product availability and shipment tracking.
- Maintain up-to-date sales records and customer databases.
- Manage import documentation (Invoice, Packing List, Bill of Lading, CO, etc.) with logistics.
- Assist in preparing sales reports and forecasts for management.
- Customer Service
- Respond to customer inquiries regarding products, order status, and after-sales service.
- Coordinate with internal teams to ensure timely delivery and customer satisfaction.
- Administrative Support (HR-related)
- Issue monthly payslips and prepare standard employment documents.
- Act as the local point of contact for HR matters with the APAC HR team.
- Support onboarding/offboarding processes and maintain employee records.
- Assist in ensuring compliance with HR policies and local labour requirements.
- Office & IT Support
- Handle general office administrative duties, including supplies and vendor coordination.
- Support internal meetings, training sessions, and company events.
- Assist with basic IT support, including laptop setup and troubleshooting.
- Manage company mobile lines and devices, including updates and troubleshooting.
Qualifications & Requirements
- Diploma or equivalent in Business Administration, Sales Support, or related field
- 12 years of relevant experience preferred (fresh graduates may be considered)
- Strong organisational and multitasking skills
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Good communication skills in English and Vietnamese
- Willingness to learn and adapt in a fast-paced, multinational environment
