The Executive Assistant to the CEO serves as the right hand of the CEO, ensuring smooth day-to-day operations, protecting the CEO's time and priorities, and enabling the CEO to focus on strategic initiatives across multiple businesses (cosmetics, entertainment, and public engagements). This role requires a trusted partner who can combine organizational excellence, business acumen, and personal discretion in a fast-paced, high-profile environment.
I. Key Responsibilities
1.Executive Support & Calendar Management
- Manage the CEO's complex calendar, including cross-industry meetings, events, and media appearances.
- Anticipate scheduling conflicts and proactively resolve them.
2.Communication & Coordination
- Act as the primary point of contact between the CEO and internal/external stakeholders, ensuring timely communication and follow-up.
- Draft, review, and translate correspondence (VietnameseEnglish) for professional and public engagements.
3.Project & Event Support
- Assist in preparing presentations, reports, and documents for BOD meetings, investor sessions, and brand activations.
- Support the execution of key company and personal branding events.
4.Travel & Logistics Management
- Coordinate complex travel itineraries, both domestic and international, ensuring
seamless arrangements across flights, accommodations, and local logistics.
5.Confidential Support
- Handle sensitive information with the utmost confidentiality, professionalism, and
Discretion.
- Maintain trust and alignment with the CEO's personal and professional values.
6.Cross-Company Liaison
- Coordinate with other executive teams across entertainment subsidiaries, ensuring alignment and smooth information flow.
7.Task & Workflow Management
- Track deliverables, deadlines, and action items for the CEO, ensuring timely execution by involved teams.
II. REQUIREMENT
- Exceptional organizational and time-management skills with a proven ability to prioritize.
- Excellent communication (Vietnamese & English), both written and verbal.
- High level of discretion, professionalism, and trustworthiness.
- Flexible, proactive, and resilient under pressure.
- Strong interpersonal skills with the ability to liaise effectively with diverse stakeholders (corporate, media, VIPs).
- Tech-savvy: Proficient in MS Office/Google Workspace; familiarity with project management tools (e.g., ClickUp, Asana) is a plus.
- Bachelor's degree in Business Administration, Communications, or related field.
- Minimum 35 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting C-level executives.
- Experience in high-growth industries such as cosmetics, fashion, entertainment, or media is highly preferred.
- Proven track record of handling confidential information and managing complex schedules.
