JOB TITLE: Executive Team Assistant for East Asia Managing Director (MD)
Location: Ton Duc Thang Street, Sai Gon Ward, Ho Chi Minh City
Salary: Attractive - open to negotiate base on experience
Contract: 6 months (high potential to be extended)
EXPECTATIONS AND TASKS
- Supporting the overall activities of the MD, providing onsite and remote administration services to the MD and key personnel
- Reporting: Consolidation and preparation of Operations/Project status, Scope changes, Project overview, Resource allocation and availability, Milestones, Projections, and coordinating management meetings across Singapore, Vietnam, Korea and Japan
- Issue Management and Tracking: Assessment, logging, monitoring and follow throughs
- Project-related issues (Payment to Vendors, Procurement processes etc)
- Travel and administration tasks as required for the MDs office, and liaise with appointed travel agents by location on travel changes, updates etc.
- Able to communicate efficiently on behalf of MDs office to internal, External Customers, Suppliers
- Compliance with organizational standards (Audit, Security, etc.)
- Ensuring consistency with corporate strategy, consistency of process across projects
- Organize and coordinate department activities as required onsite in Vietnam
- Manage and organize MDs schedule, and as required, provide administrative support to the MD during and beyond office hours, especially during business trips
- Coordinate meeting schedule and follow up with other executive stakeholders across company
EDUCATION AND QUALIFICATIONS / SKILLS AND COMPETENCIES
- 3 years Experience in top tier Executive Administration roles, preferably in a European / US based MNC
- Fluent communication in English
- Able to work in an international environment
- Familiar with processes and standards in multinational organizations
- High customer orientation and focus a must
- Excellent English language skills (both spoken and written)
- Diploma/Bachelors degree as pre-requisite
- Excellent skills in Office 365 (Outlook, Excel, PowerPoint, Word) and able to use co-pilot for productivity improvement
- Open minded behavior, good communication skills
- Technically savvy, able to learn and adapt to using the latest tech tools in the work environment
