Job Description

KEY RESPONSIBILITIES:

1.1 Support in Operations & Work Management

  • Monitor work progress of departments (Sales, Logistics, Marketing); update weekly priority tasks for the CEO.
  • Track cargo handling and documentation process: check documents before submitting for signature; store documents and records properly; assist with order-related documents when needed (INV, PKL, PI, Sales contract, bank, etc.).
  • Prepare periodic reports (sales, work progress, KPIs) for the CEO.
  • Support recruitment and HR administration tasks.
  • Manage CEOs schedule, emails, partners, and important documents.
  • Other tasks as assigned.

1.2 Supplier Management (under guidance)

  • Support in sourcing & evaluating suppliers (factories, forwarders, service providers).
  • Follow up on production progress, costs, and payments to suppliers, ensuring everything runs according to plan and deadlines.
  • Assist in resolving issues with suppliers (if any).

1.3 External Relations & Networking

  • Attend meetings and partner visits with the CEO; take minutes and summarize action plans.
  • Communicate and maintain relationships with partners and clients as required.
  • Support in preparing presentations, company profiles, and participating in networking events.

REQUIREMENTS:

  • Strong organizational and time management skills.
  • Ability to write clear, professional reports, emails, and minutes.
  • Good communication skills, proficient in English.
  • Proficient in Microsoft Office, Google Workspace, Excel; familiarity with management tools (ClickUp/Trello/Notion is a plus).
  • Proactive, reliable, with high confidentiality.

PREFERED EXPERIENCE:

  • Over 1 year of experience in positions such as: Sales Admin, Logistics/Purchasing Coordinator, Customer Service.
  • Priority for candidates with experience in import-export, international trade, or logistics companies.

Working hour: 8:30-5:30 from Monday to Friday, 8:30-12:00 Saturday working from home
