Job Description

Responsibilities

Invoice Management & Processing

  • Verify, reconcile, and record purchase invoices in compliance with contracts, purchase orders, and accounting/tax regulations.
  • Ensure validity and accuracy of invoices, collect and record them in alignment with accounting books.
  • Monitor special invoices (COD, supplier credit limits, consignment, agencies).

Accounts Payable Management

  • Prepare and track weekly/monthly payment schedules.
  • Reconcile payables periodically with suppliers and internal teams.
  • Handle discrepancies and resolve issues related to payables.

Payments

  • Prepare payment documents based on Contract/PO terms and company policies, submit to the Payment Accountant on time, and check account balances.
  • Monitor payment schedules to ensure timeliness, avoid penalties, and maintain good supplier relationships.
  • Maintain and manage payment records, contracts, invoices, and other documents for easy retrieval.
  • Allocate and prioritize payments based on credit limits and terms.

Reporting & Control

  • Prepare AP reports and analyze aging reports.
  • Support VAT invoice posting and declaration for submission to General Accountant.
  • Participate in AP process improvements to optimize efficiency.

Support & Coordination

  • Liaise with auditors and tax authorities when required.
  • Support training for new or junior AP team members.
  • Collaborate with other departments on finance/accounting-related projects.

Inventory Data Handling

  • Update purchase data, product conversion, and review inventory data to resolve discrepancies.

Other tasks: Perform additional duties as assigned by the manager.

  • Degree in Finance/Accounting with 24 years of relevant experience.
  • Proficient in Excel; experience in handling high-volume transactions.
  • Proactive and detail-oriented in work execution.
