Responsibilities
Invoice Management & Processing
- Verify, reconcile, and record purchase invoices in compliance with contracts, purchase orders, and accounting/tax regulations.
- Ensure validity and accuracy of invoices, collect and record them in alignment with accounting books.
- Monitor special invoices (COD, supplier credit limits, consignment, agencies).
Accounts Payable Management
- Prepare and track weekly/monthly payment schedules.
- Reconcile payables periodically with suppliers and internal teams.
- Handle discrepancies and resolve issues related to payables.
Payments
- Prepare payment documents based on Contract/PO terms and company policies, submit to the Payment Accountant on time, and check account balances.
- Monitor payment schedules to ensure timeliness, avoid penalties, and maintain good supplier relationships.
- Maintain and manage payment records, contracts, invoices, and other documents for easy retrieval.
- Allocate and prioritize payments based on credit limits and terms.
Reporting & Control
- Prepare AP reports and analyze aging reports.
- Support VAT invoice posting and declaration for submission to General Accountant.
- Participate in AP process improvements to optimize efficiency.
Support & Coordination
- Liaise with auditors and tax authorities when required.
- Support training for new or junior AP team members.
- Collaborate with other departments on finance/accounting-related projects.
Inventory Data Handling
- Update purchase data, product conversion, and review inventory data to resolve discrepancies.
Other tasks: Perform additional duties as assigned by the Manager.
Qualifications
- Degree in Finance/Accounting with 34 years of relevant experience.
- Proficient in Excel; experience in handling high-volume transactions.
- Proactive and detail-oriented in work execution.
