Senior Order Handling Specialist

The Opportunity

At Hitachi Energy Vietnam, the Senior Order Handling Specialist plays a critical role in delivering an exceptional customer experience by ensuring the seamless processing and execution of customer orders from receipt through to final delivery. Acting as a key link between customers, sales, planning, logistics, and operations teams, you will drive order fulfillment excellence, maintain high levels of accuracy and compliance, and proactively resolve issues to ensure on-time delivery and customer satisfaction. How You'll Make An Impact

• You will manage the end-to-end order processing cycle, including order entry, verification, scheduling, order acknowledgment, and invoicing.
• You will serve as the primary point of contact for customer inquiries related to order status, delivery schedules, and product information.
• You will coordinate with Sales, Logistics, Production, and Finance teams to ensure timely order fulfillment and resolve order-related issues efficiently.
• You will monitor order backlogs and delivery performance, proactively identifying risks and communicating solutions to customers and stakeholders.
• You will process order amendments, cancellations, returns, and other customer requests in accordance with company procedures and service standards.
• You will maintain accurate and up-to-date order data within ERP systems, ensuring data integrity and operational excellence.
• You will prepare and analyze order management reports, performance metrics, and trends to support decision-making and continuous improvement initiatives.
• You will support team development and process excellence by providing guidance to junior colleagues while ensuring compliance with company policies, procedures, and quality standards.

Your Background

• You hold a bachelor degree in Business Administration, Supply Chain Management, Logistics, or a related field, with a minimum of 5 years of experience in order handling, customer service, or a similar role within a manufacturing or industrial environment.
• Hands-on experience with ERP systems such as SAP or Oracle, supported by a solid understanding of order-to-cash processes and supply chain principles.
• Strong communication and stakeholder management skills, with proficiency in both Vietnamese and English, written and verbal.
• Advanced Microsoft Office skills, particularly in Excel, with the ability to manage data, generate reports, and support business decisions.
• Proven analytical, problem-solving, and organizational skills, coupled with strong attention to detail and accuracy.
• Customer-focused team player with the ability to work independently in a fast-paced environment, while supporting continuous improvement and operational excellence.
