Job Description
RESPONSIBILITIES
1. Foreign Trade Contract Management
- Manage the full lifecycle of foreign trade contracts, from drafting and negotiation to execution, payment and debt collection.
- Review and negotiate key terms including product specifications, pricing, payment terms, Incoterms, quality inspection, insurance, penalties and dispute resolution.
- Monitor contract execution, shipment, documentation and payment status; handle amendments and arising issues.
2. Export Documentation, Payment & Receivables
- Prepare, review and complete export documentation in line with contractual and payment requirements.
- Manage document filing, payment schedules and receivables for each contract.
- Reconcile documents and payments, follow up on outstanding receivables and resolve discrepancies or overdue debts.
3. Claims & Dispute Resolution
- Handle issues and disputes related to product quality, delivery schedules, payment and other contractual matters.
- Coordinate with relevant teams, including Delivery/Logistics and Finance & Accounting, to resolve issues and protect the Company's interests.
- Follow up on resolutions and improve processes to prevent recurring issues.
4. Customer Service & Relationship Management
- Develop and implement customer service standards and activities.
- Handle customer requests, feedback and complaints, and monitor customer satisfaction.
- Improve service quality and maintain long-term customer relationships.
5. Delivery Coordination
- Plan deliveries based on contract terms, production schedules and transportation arrangements.
- Coordinate with Warehouse, Transportation, Logistics and relevant parties to ensure on-time delivery.
- Monitor delivery progress and resolve issues or adjust plans when necessary.
6. Admin Team Management
- Assign and monitor tasks within the Admin team to ensure work is completed on schedule.
- Provide guidance, support and training to team members when required.
- Conduct periodic performance reviews and support team development.
REQUIREMENTS
- Bachelor's degree in Logistics, International Business, or related fields.
- At least 3 years of experience in a similar role, preferably in export/import or international trade.
- Proficient in English across all four skills. Chinese is a plus.
- Good knowledge of trade regulations, customs, export taxation and relevant regional export standards. Knowledge of the rice/agricultural products industry is an advantage.
- Strong problem-solving and decision-making skills; good communication, reporting and data analysis skills.
- Proactive, responsible, detail-oriented and accurate; good time management and confidentiality; able to work under pressure.
