Job Description

Overview

This Receptionist cum Facility Executive will be working for one of our clients — a German company — to provide the services as outlined below.

Description Of Scope

  • Leasing & Admin Support: Facilitate and maintain records for all leasing and administrative activities (including rental invoices, utility bills, POs, warranties, process manuals, maintenance schedules, due date/delivery tracking, and lease-related notices).
  • Stakeholder Coordination: Coordinate with internal and external stakeholders, including Landlords, Building Management, and internal teams of the client company.
  • Office Maintenance: Responsible for the delivery of overall office maintenance activities, including oversight and quality inspection for all housekeeping, janitorial, and technical services.
  • Operational Reporting: Coordinate on-site activities and provide monthly performance reports to the client company's representative.
  • Site Inspections: Conduct periodic site walkthroughs with the client company's representative and gather feedback from end-users.
  • Single Point of Contact: Serve as the sole point of contact for Facility Management Services (FMS) related queries, complaints, and feedback.
  • Courier Management: Coordinate with client company-nominated vendors for courier services.
  • Procurement: Manage procurement services for all consumables and FMS equipment.
  • Optimization: Implement cost-cutting and quality improvement measures in areas such as the Pantry, Stationery, Mail Room, Cafeteria, etc.
  • Housekeeping Control: Ensure consistent housekeeping services and implement effective control measures.
  • Sanitization: Ensure deep cleaning and sanitization schedules are effectively executed by the service provider and perform overall monitoring.
  • Proactive Measures: Initiate proactive measures to improve facility standards.
  • Resource Management: Manage job rotation and staff replacements.
  • Compliance & Testing: Manage checklists, inspections, and test reports.

Requirements


  • Mindset: Proactive, self-motivated, and willing to take on responsibilities.
  • Attitude: Courteous, cooperative, polite, and professional nature.
  • Languages: Excellent command of English, Vietnamese, and other regional languages.
  • Technical Skills: Intermediate proficiency in MS Office 360 (Excel, Word, PowerPoint, Outlook, Planner, Teams, etc.).
  • Soft Skills: Strong communication, leadership, decision-making, and interpersonal skills.
  • Experience: Proven experience in FMS (Facility Management Services) and location management.
