Working Schedule: Monday – Friday, 8pm – 5am (Vietnam Time)
The work schedule will align with U.S. Headquarters business hours and may be adjusted from time to time based on business needs.

Position Overview
We are seeking a detail-oriented Payroll & Accounting Associate to support both U.S. and Vietnam payroll operations, as well as general accounting activities.
This position will primarily support U.S. payroll and timekeeping operations from our Vietnam office and will also be responsible for Vietnam payroll and accounting functions. The ideal candidate should have strong attention to detail, be comfortable working with numbers and payroll data, and be able to work during U.S. Headquarters business hours.
Key Responsibilities
1. U.S. Timekeeping and Attendance
- Collect, review, and consolidate employee timekeeping and timesheet data from multiple branches and clients.
- Review time records for accuracy, completeness, and potential discrepancies prior to payroll processing.
- Coordinate with branch and field personnel to resolve missing or inaccurate timekeeping information.
- Prepare weekly or bi-weekly attendance and timekeeping reports.
- Maintain accurate and organized employee timekeeping and payroll records.
- Follow established procedures and deadlines to ensure timely payroll processing.
2. U.S. Payroll Operations
- Support weekly payroll processing for multiple branches and employee groups.
- Prepare, review, and validate payroll data prior to submission and processing.
- Enter, format, reconcile, and transfer payroll-related data between payroll, timekeeping, HR, and other systems.
- Review payroll reports and identify discrepancies or unusual items for correction.
- Process and maintain various payroll deductions, including statutory and voluntary deductions, in accordance with company policies and applicable requirements.
- Assist with payroll-related reconciliations and reporting.
- Prepare payroll documentation and reports for management review and approval.
- Maintain confidential employee payroll information and ensure proper handling of sensitive data.
3. Accounting and Finance Operation (Vietnam)
- Collect, organize, and maintain accounting documents, including invoices, receipts, contracts, payment requests, and other supporting documents.
- Record daily financial transactions accurately in accordance with company policies and accounting procedures.
- Prepare payment requests for payroll, social insurance, office rent, utilities, vendors, and other operating expenses.
- Process cash advances, reimbursements, and cash disbursements, ensuring all supporting documentation is complete and accurate.
- Reconcile supporting documents with bank transactions and payment records.
- Prepare, issue, receive, and manage VAT invoices (electronic invoices) in compliance with Vietnamese tax regulations.
- Prepare monthly, quarterly, and annual VAT declarations and other required tax reports, and coordinate timely submission with the external accounting firm.
- Monitor accounts payable, payment schedules, and tax filing deadlines to ensure timely compliance.
- Prepare accounting schedules and supporting documents for the Annual Corporate Income Tax Return and Annual Financial Statement Audit.
- Coordinate directly with the external accountant and auditors by providing all required accounting records, schedules, and supporting documentation.
- Export, consolidate, and maintain accounting data for monthly and year-end closing.
- Perform other accounting and finance duties as assigned by management.
4 . Other Responsibilities
- Maintain organized and accurate electronic and physical records.
- Follow company policies, procedures, and internal controls.
- Maintain strict confidentiality of employee, payroll, financial, and company information.
- Perform other duties and special projects as assigned by management.
WHAT YOU SHOULD HAVE
- Bachelor's degree in Business Administration, Business Information System, Accounting, Finance, or a related field.
- 0–3 years of experience in accounting, payroll, finance, or a related field.
- Entry-level candidates and recent graduates are encouraged to apply.
- Proficiency in Vietnamese and English is a MUST.
- Basic knowledge of Payroll, accounting, or finance is preferred.
- Proficiency in Microsoft Office or Google Workspace, particularly Excel or Google Sheets.
- Ability to manage recurring deadlines and multiple tasks.
- High level of integrity and ability to maintain confidential information.
- Willingness to work night shifts aligned with U.S. Headquarters business hours.
Preferred Qualifications
- Experience with U.S. payroll or U.S. payroll-related operations.
- Familiarity with U.S. payroll deductions and payroll-related terminology.
- Experience working for a CPA firm, accounting firm, or tax consulting firm.
- Basic understanding of accounting principles.
- Basic understanding of Vietnamese labor regulations, payroll, or statutory insurance.
- Experience preparing reports or working with data in Excel or Google Sheets.
- Experience working with SAGE or similar accounting software.
