What Youll Do

We are looking for a proactive and resourceful Office Manager to ensure our workplaces are functional, comfortable, safe, and efficient through seamless guidance and oversight. If youre highly organized, solutions-oriented, and thrive in dynamic environments, wed love to meet you.

  • Workplace Operations & Administrative Management
  • Serve as the first point of contact for all workplace-related matters and facilitate communication with employees.
  • Ensure all sites are managed and maintained to a high standard and in compliance with local and global policies and guidelines.
  • Roll out and maintain workplace processes, tools, and policies to support day-to-day efficiency.
  • Oversee daily office operations, including building management, stationery, mail/postage, travel and accommodations, snack services, and general supplies.
  • Act as the liaison with building management and landlords for issues related to leasing, repairs, and service quality.
  • Coordinate with internal teams and assist in planning internal events (e.g., staff celebrations, company trips) in collaboration with the business departments.
  • Manage the workplace budget: forecast, monitor, and report on all workplace-related expenses in alignment with department financial targets.
  • Workplace Design & Renovation Projects
  • Monitor trends in workplace strategy, space utilization, and employee experience; make proactive recommendations in line with evolving company needs.
  • Support the design and planning of renovations, refits, and workspace layouts to ensure functionality, comfort, and alignment with studio branding.
  • Lead and coordinate improvement projects such as office moves, furniture installations, or floor upgrades.
  • Collect input from business units to plan and organize space moves and oversee neighborhood mapping to propose space solutions.
  • Identify processes and procedures that best serve the needs of the business and Sky Mavis employees, while contributing to a fun and productive environment.
  • Procurement & Vendor Management
  • Serve as the primary point of contact for office vendors and service providers, ensuring consistent quality and timely service delivery.
  • Manage the full procurement cycle: identifying needs, issuing purchase orders, and tracking deliveries and invoices.
  • Research and engage with competitive suppliers to provide cost-effective and reliable services.
  • Maintain and monitor contracts to ensure compliance, renewals, and performance tracking.
  • Ensure all procurement requests are fulfilled on time and aligned with company procedures.
  • Health, Safety, and Security Oversight
  • Support the implementation of workplace health and safety policies in compliance with local regulations.
  • Coordinate with building security and internal stakeholders to ensure a safe and secure work environment.
  • Report safety issues or incidents and follow up on corrective actions.

What Youll Bring

  • 8+ years of experience in office/facilities management, with at least 2 years in a manager role, ideally in a tech or fast-paced environment.
  • Excellent problem-solving skills with a customer-first mindset.
  • Excellent communication and interpersonal skills, and the ability to work with internal and external stakeholders
  • A demonstrated ability to work collaboratively across departments and levels within a complex organization.
  • Proficient in Vietnamese and English communication
  • Bonus points if youre an Excel wizard or can charm your way through project planning chaos.
