Working hours: 8:30–17:45, Monday–Friday

LIKON LAW is a partner-led law firm established in 2017 and based in Ho Chi Minh City. We advise international businesses, investors, multinational corporations and private clients across corporate, employment, dispute resolution and private client matters.
The Role
We are looking for a dynamic, proactive and highly organized Office Administrator to support the day-to-day operations of the Firm and work closely with our Partners and lawyers.
This is a versatile role covering office administration, Partners assistance, secretarial support, billing and basic HR administration, with regular interaction with clients and external service providers.
Key Responsibilities
- Manage day-to-day office administration and maintain a professional and welcoming office environment
- Provide administrative and secretarial support to the Partners and lawyers, including calendars, meetings, travel arrangements, correspondence and follow-ups
- Welcome visitors and handle incoming calls, emails, documents, deliveries and couriers
- Prepare, format, organize and file documents and maintain physical and electronic records
- Coordinate office supplies, equipment, IT, building management and external service providers
- Assist with client and matter opening, engagement letters, signatures, stamps and administrative deadlines
- Support billing, including invoice preparation, payment tracking, basic data entry and coordination with the Firm's accountants
- Provide basic HR administration, including recruitment and onboarding support, employment documentation, personnel and leave records and monitoring of probation and contract expiry dates
- Assist with meetings, Firm events, presentations, contact databases and other administrative or marketing activities
Candidate Profile
- University or college degree; a diploma or degree in law is a plus
- Strong communication and interpersonal skills with a professional and service-oriented approach
- Highly organized and detail-oriented, with the ability to manage multiple tasks and follow-ups independently
- Proactive, reliable and resourceful, with a willingness to take ownership of responsibilities
- Good command of Microsoft Outlook, Word, Excel and PowerPoint and comfortable using standard office technology
- High level of discretion and commitment to confidentiality
- Previous experience in administration, executive assistance, a law firm or other professional services environment is an advantage
The Office Administrative Assistant reports directly to the Partners and works closely with the Firm's lawyers, accountants and external service providers.
