Job Description

Customized Energy Solutions (Vietnam) is seeking a highly organized and proactive Manager, Associate Care & Office Administration to oversee day-to-day people and office operations in our Ho Chi Minh City office. This position will manage Associate Care and office administration for CES Vietnam, supporting a dynamic team of professionals in Ho Chi Minh City while aligning with CESs global Associate Care standards.

The Manager will maintain associate records, support payroll and benefits, ensure compliance with Vietnamese labor law, and coordinate recruitment efforts. The role also manages office operations, vendor relationships, and engagement activities such as event planning, team building, and ordering lunches to strengthen associate collaboration.

Responsibilities Include:

Associate Care (HR)

  • Maintain and update associate records in accordance with CES policies and Vietnamese labor regulations.
  • Administer and ensure accurate payroll, benefits, and leave management through the HRMS system.
  • Partner with legal and compliance agent to ensure compliance with local laws and regulations.
  • Support recruitment efforts for Vietnam office, including resume screening, interview scheduling, and onboarding.
  • Handle confidential information with discretion.

Office Administration

  • Manage office leases, insurance, expense reports, and vendor contracts.
  • Oversee office supplies, equipment, and maintenance.
  • Coordinate business travel, visitor accommodations, and meeting logistics.
  • Manage office budgets related to operations, supplies, and events.

Engagement & Culture

  • Plan and coordinate team-building activities and associate engagement programs for Vietnam associates.
  • Organize office lunches and refreshments for meetings and events.
  • Promote CESs collaborative, people-first culture in the Vietnam office through Associate Care initiatives and office events.

Qualifications

  • Bachelors degree in business administration, Associate Care (HR), or a related field.
  • Fluent in both written and spoken Vietnamese and English, with strong business communication skills.
  • Preferred: Prior experience supporting technical teams (developers, QA, UAT, business analysts) in a dynamic, global company.
  • Preferred: Proficiency in HRIS/payroll systems, especially MISA HRM.
  • 5+ years experience in Associate Care, office management, or combined people/operations leadership roles, preferably in an international company.
  • Strong knowledge of Vietnamese labor law, payroll practices, and compliance requirements.
  • Excellent organizational and interpersonal skills with the ability to work independently.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and recruitment tools.
  • Experience managing events, team-building programs, or associate engagement initiatives.
