Job Description

Pyxera Global (www.pyxeraglobal.org), non-profit organization with a global presence, will be managing a corporate volunteering program in Ho Chi Minh City, Vietnam scheduled to take place between February 20 - 27, 2027.

As part of this initiative, Pyxera Global is seeking to hire a part-time Local Project Coordinator based in Ho Chi Minh City to support the implementation of the program. This individual will play a key role in providing logistical coordination, designing cultural experience and project management support to a team of high-level corporate volunteers who will deliver pro bono consulting services to our selected partner.

The selected Local Project Coordinator's main responsibilities will include, but may not be limited to, the following:

Project Development & Implementation

  • Identify and select potential health-focused partner organizations and help to develop Scope of Works (SOWs) reflecting the specific areas of intervention requested by local nonprofit organizations
  • Support local partner organizations in preparing for arrival of corporate participants and ensuring stakeholder meetings are arranged
  • Participate in conference calls with corporate participants in advance of their arrival in Ho Chi Minh City
  • Support corporate participants, providing advice and guidance around SOW delivery
  • Act as the on-the-ground interface between Pyxera Global and partners in Ho Chi Minh City, including regular correspondence with Pyxera Global staff and other stakeholders to assure satisfaction on the part of the corporate participants and selected partners
  • Participate in meetings with corporate participants, as requested
  • Prepare financial and final program reports

Logistics

  • Support program documentation, including coordinating local photographers and videographers in line with client requirements and budget.
  • Identify, procure and coordinate program materials and merchandise
  • Coordinate local transportation and travel logistics for corporate participants, staff, and other stakeholders, including airport transfers and local transportation while they are in Ho Chi Minh City
  • Support accommodation arrangements for corporate participants in Ho Chi Minh City.
  • Coordinate kick-off and closing events for corporate participants and partner organizations, including related logistical and vendor arrangements.
  • Develop and coordinate local cultural experiences that enable participants to meaningfully engage with and experience the local culture.
  • Prepare local city guides and recommendations for corporate participants and project teams and support participant orientation upon arrival.
  • Serve as a logistical and informational resource for corporate participants, troubleshooting challenges and supporting their needs throughout the program.
  • Monitor and advise on security arrangements for corporate participants during their stay in Ho Chi Minh City.

Knowledge and Skill Requirements

  1. Must be based in Ho Chi Minh City with in-depth area familiarity
  2. College degree in communications, project management, organizational development, NGO management, or related field
  3. Minimum of 5-10 years of experience (social sector experience preferred)
  4. Experience working effectively with cross-cultural teams and coordinating events and experiences for diverse, multicultural groups.
  5. Ability to multi-task and manage diverse tasks simultaneously
  6. Flexible and able to work in a team, as well as individually with limited supervision
  7. Exceptional writing skills and ability to develop SOWs with limited supervision
  8. Strong organizational skills and attention to detail
  9. Fluent in English and Vietnamese
  10. Exceptional customer service, communication, and problem-solving skills
  11. Experience in virtual and in-person presentation skills

Salary

This is a part-time consultant position with a timeline starting October 2026 until April 2027 with an estimate of 12-15 days of work. Pay is based on experience and the type of work required for this position.
