Job Description – Inbound Manager

  • Role Overview

The Inbound Manager is responsible for managing end-to-end inbound operations, ensuring timely and accurate stock receiving from suppliers into the warehouse network. This role plays a critical part in maintaining inventory accuracy, supporting sales readiness, and ensuring smooth coordination across Planning, Warehouse, Commercial, and Supplier teams.

  • Key Responsibilities

Inbound Planning & Coordination

Receive Purchase Orders (PO) from Planning, submit to suppliers, and confirm delivery timelines (ETA)

Align weekly inbound plans (W+1) with Planning to support warehouse capacity and manpower readiness

Coordinate inbound scheduling with warehouses and arrange transportation where required

Inbound Execution & Monitoring

Create and manage PO records in WMS, ensuring accurate SKU and document mapping

Track inbound progress and ensure compliance with agreed lead times and SLAs

Monitor receiving status and ensure timely stock synchronization to sales channels

Coordinate with Planning, Warehouse, and Commercial teams to resolve operational issues

Reconciliation & Discrepancy Management

Perform PO reconciliation within 48 hours after inbound completion:

OR: reconcile against supplier invoice

CSM: reconcile against internal delivery note

Identify and classify discrepancies (shortage, over-receipt, damage, document mismatch)

Confirm reconciliation results via formal communication with all stakeholders (Supplier, Warehouse, Internal teams)

Follow up and execute required adjustments:

OR: invoice correction

CSM: update delivered quantities in supplier systems

Warehouse Operations & Manpower Management

Coordinate outsourced staff (e.g., porters) for unloading and sorting activities when applicable

Ensure sufficient manpower allocation to meet inbound SLAs, especially during peak periods

Supervise and allocate outsourced staff across warehouses based on workload demand

Support additional manpower planning during stock counts or high-volume periods

Onsite Receiving Control (MCL Warehouse)

Oversee inbound receiving activities at warehouse level, ensuring:

Accurate handover from suppliers

Validation of invoice and supporting documents against PO

Verification of product quantity and condition before warehouse acceptance

Ensure transparency, accuracy, and compliance in the receiving process

Reporting & Documentation

Maintain complete and accurate documentation for all inbound transactions

Ensure full traceability for audit and dispute resolution purposes

Record daily receiving results and provide timely updates to internal teams

Ensure all data is accurately updated in systems (WMS and related platforms)

Issue Management & Escalation

Proactively identify risks related to delays, discrepancies, or SLA breaches

Escalate critical issues to Planning and Commercial teams within defined timelines

Drive resolution with relevant stakeholders to minimize business impact

System & Process Support

Support onboarding of new stores into operational systems

Create and maintain SKU master data in WMS based on standardized requests from Commercial

Ensure system accuracy and proper setup for all inbound-related data

  • Requirements

5–8+ years of experience in Supply Chain, Logistics, or Warehouse Operations

Strong experience in inbound operations, inventory management, and reconciliation processes

Hands-on experience with WMS and ERP systems

Strong coordination skills with cross-functional teams (Planning, Warehouse, Commercial, Suppliers)

High attention to detail with a strong focus on accuracy and compliance

Proven ability to manage operations under pressure and meet tight deadlines

Experience in managing outsourced manpower is a plus

Good command of English (written and spoken)

Inbound SLA compliance (on-time receiving, lead time adherence)

Inventory accuracy rate

PO reconciliation accuracy and timeliness (within 48 hours)

Discrepancy resolution turnaround time

Stock availability for sales channels

Documentation and audit compliance

Warehouse productivity and manpower efficiency
