Job Description
Job Summary:
• Operations & Compliance: Manage employee data integrity, statutory insurance/PIT, and compliance across HR systems in full accordance with internal policies and Vietnamese labor regulations.
• Employee Lifecycle Management: Coordinate end-to-end onboarding and off-boarding procedures, ensuring the timely processing of pre-employment documentation, labor contracts, clearances, and final pay settlements.
• People Analytics & System Administration: Maintain and evolve core HR related systems and People Dashboards, applying data analytics to optimize HR operational efficiency.
Key Responsibilities:
A. Employee Lifecycle & Operational Administration in compliance with law/policy deadlines and zero mistakes – 40%
1. Employee lifecycle: Execute end-to-end employee lifecycle processes, including onboarding (pre-employment docs, e-filling, fingerprinting) and offboarding.
2. Contract Management: Track probation and contract renewal timelines; prepare and issue timely employment documentation (promotions, transfers, terminations, and labor contracts).
3. Personnel Records Management: Maintain complete, secure, and confidential digital and physical employee records (hard copies, e-filing and document management on MyCoke system), files, and certifications in compliance with company policy and legal standards, ensuring secure storage and quick retrieval.
4. Master Data Accuracy: Check monthly incentive data, conduct quarterly Master Data Accuracy Audits to ensure error-free employee data.
5. HR Contact Center: Act as a reliable contact for general employee HR related inquiries and service requests via HR Contact Center portal.
B. HR Systems & Database Management – 10%
1. System Administration: Maintain and update employee data across core systems/platforms (SuccessFactors, Time Management), including workflow approvals, and lifecycle changes (new hires, status changes, dependents, terminations).
2. Data Integrity & Support: Perform routine system testing and updates as HR user when needed. Act as the point of contact to troubleshoot data discrepancies and resolve employee data inquiries regarding SuccessFactors and Time Management System.
C. Statutory Insurance, PIT & Compliance/Reporting – 15%
1. Statutory Insurances (SI / UI / HI): Administer insurances, submit monthly/quarterly reports to authorities, process sick/maternity leave claims, and manage insurance book/card distribution, perform quarterly statutory insurance reconciliations; update and maintain Bảo Việt insurance eligible members monthly.
2. Personal Income Tax (PIT): Issue tax codes and register dependent information on the government tax portal.
3. Statutory Reporting: Prepare and submit mandatory labor reports to local government authorities and site offices in compliance with legal deadlines.
4. Compliance/Reporting: Regional or Company-wide reports (data for payroll, government report, ad-hoc report, etc).
D. People Analytics & Insights – 35%
1. Dashboard Development: Maintain and enhance People Dashboards to visualize key HR metrics and workforce trends.
2. Advanced Analytics: Apply statistical tools and data analytics to uncover actionable HR insights, conduct root-cause analysis on historical data, and support data-driven decision-making.
3. Reporting: Generate regular and ad-hoc HR reports as requested by management.
JOB REQUIREMENTS:
- University/Bachelor's Graduate of any bachelor's degree, preferably HR related or business-related courses
- At least 3 to 4 years relevant work experience in HR Generalist
Technical & Functional Expertise
• Labor Law & Compliance: Understanding of Vietnamese Labor Law, Statutory Insurance regulations (SI/UI/HI), and Personal Income Tax (PIT) laws regarding dependent management and compliance.
• HR Systems Proficiency: Hands-on experience with core HR Information Systems (HRIS) such as SuccessFactors, and Time Management system.
• Advanced MS Office Skills: Highly proficient in Microsoft Office, with advanced expertise in Excel (complex formulas, data manipulation, pivot tables).
• People Analytics & Data Management: Demonstrated ability in statistical data analysis, data reconciliation, dashboard management, and converting historical HR data into actionable business insights.

• Communication & Stakeholder Management: Good interpersonal and communication skills to collaborate effectively with internal teams (HRBPs, Talent Acquisition, employees at all levels) and external government authorities (Department of Home Affairs, Social Insurance Dept).
