HEAD OF ORDER MANAGEMENT MANUFACTURING

KEY RESPONSIBILITIES1. Order Management & Execution

• Oversee the end-to-end order management process from order confirmation to shipment.
• Establish and monitor order milestones, production progress and delivery timelines.
• Develop tracking tools, reports and SOPs to identify potential delays and operational risks.
• Monitor order status and proactively escalate issues requiring management attention.
• Ensure customer requirements are accurately translated into internal production plans.

2. Cross-functional Coordination

• Lead regular alignment meetings with Sales, Production, QA, Supply Chain and other relevant functions.
• Review new orders and assess production capacity, lead time, feasibility and margin considerations before order acceptance.
• Identify production bottlenecks and coordinate corrective action plans.
• Monitor capacity against incoming orders and highlight potential delivery risks.

3. International Customer Management

• Act as a key operational contact for major international retail customers.
• Communicate with customers regarding order status, production capacity, lead times, quality issues and corrective actions.
• Manage customer portals and ensure required information is updated accurately and on time.
• Convert complex manufacturing and production data into clear reports and updates for customers.

4. Team Leadership

• Lead, coach and develop a team of 3–5 Order Management professionals.
• Establish clear processes, KPIs and accountability within the team.
• Improve reporting systems and order management processes to support business growth.
• Build a culture of ownership, accuracy and proactive problem-solving.

REQUIREMENTS

• 8+ years of experience in manufacturing, supply chain, order management, customer operations or related functions.
• Strong experience in furniture, timber, handicrafts, homeware, ceramic or similar manufacturing industries.
• Proven experience working with international / Tier-1 retail customers, preferably Walmart, Target, Costco, Home Depot or similar retailers.
• Strong understanding of order management, production planning, capacity, lead times and shipment schedules.
• Experience managing or leading a team.
• Strong analytical and problem-solving skills with a hands-on approach.
• Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP and data analysis.
• Excellent English communication skills, both written and verbal.
• Strong ability to coordinate across multiple departments and manage time-sensitive issues.
• Willingness to travel between the company's Binh Duong and Vinh Long factories when required.
