1. ABOUT NEW KOTO

Founded in 1999, KOTO — Know One, Teach One — is Vietnam's pioneering social enterprise dedicated to transforming the lives of at-risk and disadvantaged youth through hospitality and vocational training, education, and life-skills development.

For more than two decades, KOTO has empowered nearly 2,000 young people to build better futures for themselves, their families, and their communities.

The New KOTO operating model consists of four interconnected Arms:

Arm 1 – Operations & Enterprise

Restaurants, commercial operations, and operational excellence.

Arm 2 – Training & School

Recruitment of disadvantaged youth, vocational training, life skills, certification, and pathways to employment.

Arm 3 – Growth & Ecosystem

Business development, strategic partnerships, fundraising, ecosystem development, brand, and growth.

Arm 4 – Strategic Shared Services

People & Culture, Finance, Legal & Compliance, Internal Audit, IT/Systems, Procurement, and other organisational support functions.

The four Arms operate as one KOTO, under a common strategy, governance framework, performance management system, and culture of accountability.

2. JOB DESCRIPTION

The Head of Enterprise Systems & AI (ECU) will work directly with the CEO to design, build and progressively integrate KOTO's digital systems, AI automation and management intelligence capabilities.

This role is designed for someone who can understand business problems and turn them into simple, practical and usable technology solutions.

Key Responsibilities

• Design the overall roadmap and architecture for Enterprise Systems & ECU.
• Build and connect CRM, sales funnel, website, booking and AI Contact Center capabilities, covering the journey from customer enquiry to conversion.
• Develop management dashboards that enable the CEO and leadership team to quickly monitor sales, operations, financial performance and key exceptions.
• Apply AI and automation to customer service, reporting, follow-ups, approvals, alerts and repetitive manual tasks.
• Connect data and workflows across functions, reducing reliance on spreadsheets and fragmented data silos.
• Digitise approval processes, Delegation of Authority (DOA), accountability and audit trails.
• Support the digitisation of SOPs and organisational knowledge into structured, searchable and version-controlled systems.
• Build a management tracking system based on:

Priority → Owner → Target → Deadline → Status → Corrective Action

• Work closely with business leaders to ensure that technology is adopted in practice and delivers measurable business results.

ECU does not replace the ownership or accountability of individual business functions. Its role is to connect systems, data and intelligence so that the organisation can operate faster, with greater transparency and better decision-making.

3. COMPETENCY & EXPERIENCE

KOTO is looking for a candidate with approximately 5+ years of relevant experience in one or more of the following areas:

Enterprise Systems | Digital Transformation | AI Automation | Business Systems | Data/BI | Process Improvement

The ideal candidate should demonstrate:

• Strong business and systems thinking, with the ability to understand end-to-end processes and identify bottlenecks.
• Hands-on capability with AI tools, automation, workflows and rapid prototyping.
• Understanding of CRM, ERP concepts, databases, APIs and system integration.
• Ability to build dashboards, management information and exception reporting.
• Understanding of sales funnels, customer journeys and business economics.
• Basic financial literacy, including P&L, COGS, labour cost, contribution margin, budgets and forecasts.
• Ability to move quickly from:

Business Problem → Prototype → Test → Go-live → Adoption → Measurable Result

• Ability to work directly with the CEO, business leaders and technical partners.
• A fast-learning, practical, curious and execution-oriented mindset.
• Experience in F&B, hospitality, retail or multi-site operations is an advantage.
• Alignment with KOTO's mission and Know One, Teach One philosophy.

The Person We Are Looking For

This is not a traditional IT Manager role focused primarily on infrastructure, hardware or helpdesk support.

KOTO is looking for a business systems builder — someone who can identify a business problem, understand its underlying cause, select the appropriate technology and rapidly turn it into a solution that people actually use.
