POSITION INFORMATION:
- Job title: EVENTS SPECIALIST (Mid - Senior)
- Reporting to: Manager of Marketing, Communications, and Events Department
- Department: Marketing, Communications, and Events
- Location: Ho Chi Minh City, Vietnam, with frequent travel to rural provinces
- Expected start date: As soon as possible, preferably no later than October 9, 2026
GENERAL RESPONSIBILITY:
We are looking for a dynamic and detail-oriented Events Specialist to join our Marketing, Communications, and Events team. In this role, you will play a key part in planning and executing various events, including partner meetings, press conferences, and fundraising initiatives. Your organizational skills and creativity will help us deliver impactful experiences that align with our mission.
KEY RESPONSIBILITIES:
- Develop concepts and comprehensive plans for various events, including partner meetings, press conferences, and fundraising events.
- Develop detailed event work plans, timelines, and run sheets for assigned events.
- Coordinate logistical aspects of events, including venue selection, F&B services, audiovisual setup, and other necessary arrangements.
- Collaborate with other teams within the organization to ensure seamless execution.
- Collaborate with external partners, vendors, and service providers to ensure smooth and timely event delivery.
- Collaborate with internal and external resources to produce promotional materials for events.
- Support the management of event registration, guest lists, stakeholder communication, and on-site participant experience.
- Prepare event budgets and supporting quotations, and coordinate with relevant teams on vendor selection, procurement, contracts, and payment documentation in accordance with organizational procedures.
- Identify potential operational, safety, and reputational risks; prepare contingency arrangements and promptly escalate matters requiring management or specialist input.
- Support compliance with VCF SE policies and relevant requirements, including child safeguarding, privacy, consent, and the appropriate use of photographs and participant information.
- Deliver post-event reports, including event outcomes, agreed indicators, participant and partner feedback, lessons learned, and recommendations for improvement.
- Travel to other provinces for events as assigned.
- Have photography skills and the ability to capture simple, appropriate event photographs for internal and communications use.
QUALIFICATIONS AND REQUIREMENTS
Must Have
- Bachelor's degree
- Experience in event organization, communications, or a related role.
- Excellent communication skills in both Vietnamese and English.
- Strong interpersonal skills and the ability to collaborate effectively with diverse internal and external stakeholders.
- Strong organizational skills, keen attention to detail, and the ability to manage multiple tasks and priorities effectively.
- A genuine commitment to VCF SE's mission of improving the lives of children and women in Vietnam, with care and respect for the communities we serve.
- This is a core requirement of the position: the Events Specialist will support events and activities across VCF SE programmes and must be willing and able to travel to provinces as required to provide on-site coordination and logistical support.
- Flexibility to support evening or weekend events, with prior arrangement.
- Applicants must be legally authorized to work in Vietnam. VCF SE is unable to provide visa or work permit sponsorship for this position.
Preferred Qualifications
- Bachelor's degree in Marketing, Communications, Public Relations, International Relations, or a related field.
- At least one year of relevant experience in event coordination, communications, or a related role.
- Familiarity with the non-governmental or non-profit sector in Vietnam.
