Event Operations Intern

Position Summary: We are seeking an energetic and detail-oriented Event Operations Intern to join our team. Working directly under the guidance of our Course Manager, you will gain hands-on experience in race/event planning, logistics coordination, on-site execution, and post-event operations. This role is ideal for a proactive student or fresh graduate eager to build real-world experience in sports management and large-scale event operations.

Key Responsibilities

Course Operational Learning & Planning

• Operational Flow Learning: Learn the operational flow of endurance courses (Marathon, Triathlon), including the planning phase, athlete insights, and flow dynamics under direct guidance to build a well-rounded operational mindset.
• Detailed Plan Drafting: Under the direct guidance of the Course Manager, apply course flow knowledge to support building detailed course plans, including:
• Athlete Experience & Customer Journey: Map out athlete touchpoints, flow dynamics, and clear course interactions to build an exceptional race-day experience.
• Aid Station & Hydration Logistics: Positioning, water/nutrition inventory, and optimizing layouts.
• Course Safety, Infrastructure & Marking: Barricade layouts, road closure alignments, hazard callouts, kilometer markers, turnarounds, and directional banners.
• Manpower Planning: Map out personnel allocation for each course point to ensure adequate coverage and seamless race-day execution.

Event Planning & Training Preparation:

• Training Materials: Draft and finalize training files, briefing decks, and guides for sector heads, marshals, and volunteers.
• Site Inspections: Join site checks with internal teams and suppliers to brief operational teams and align with vendors, ensuring all course plans are executed accurately on-ground.

Event Week & Logistics Coordination:

• Gear & Document Preparation: Help prepare essential course paperwork, files, maps, contact lists, and equipment for sector teams.
• On-Site Operational Support: Act as one of the primary points of contact during event week to ensure all course items, assets, and operational needs are fully supplied to team members.
• On-Ground Execution: Support the physical setup of course elements and assist the Course Manager in real-time coordination on race day.

Post-Event Wrap-Up:

• Asset Retrieval & Teardown: Assist with course teardown, inventory counts, asset recovery, and material returns.
• Debrief Support: Compile feedback, debrief notes, and post-event operational reports.

Qualifications & Requirements

• Currently pursuing a Bachelor's degree or Diploma in Event Management, Sports Management, Hospitality, Business Administration, or a related field.
• Prior experience in student organizations, volunteering, or event support (experience in endurance/sports events is a strong plus).
• Able to commit at least 3 days/week during the planning phase and work full-time during Event Week and the week prior (including early morning race-day hours).
• Possess the physical stamina and agility required to handle long hours outdoors and hands-on course setup (Male candidates are preferred due to the physical demands of the role).
• Proficient in English and Vietnamese, with clear communication skills to brief teams and relay critical updates under high pressure.
• Meticulous and detail-oriented when handling site maps, setup checklists, and equipment inventories.
• Proactive, collaborative, and highly passionate about endurance sports and community engagement.
