Job Description

WowU Influence, part of Pencil Group, aims to be a strategic partner that connects and supports business strategies across enterprises, brands, artists, influencers, and production houses.

1. ABOUT THE ROLE

Account Manager (AM) is strong in Client Management and Project Management, with the ability to independently manage day-to-day account operations and ensure projects are delivered on time, on budget and to the expected quality.

The AM will act as the key connection point between clients and internal teams, translating client requirements into clear action plans, coordinating resources, tracking progress and proactively managing risks throughout the project lifecycle.

This role is suitable for someone who is highly organized, detail-oriented, proactive and accountable, and who can manage multiple projects and stakeholders at the same time.

The AM is expected to own the project from briefing to completion.

 

2. KEY RESPONSIBILITIES

A. ACCOUNT & CLIENT MANAGEMENT

1. Manage day-to-day client relationships

- Act as the main day-to-day contact point for assigned clients/accounts.

- Build and maintain professional, trusted relationships with clients.

- Understand client business objectives, communication needs, priorities and expectations.

- Receive, clarify and consolidate client briefs before communicating with internal teams.

- Proactively identify client needs, concerns and potential issues.

- Ensure client requests are properly prioritized and communicated to relevant internal stakeholders.

- Proactive follow up with clients on feedback, approvals, deliverables and required actions.

- Maintain a clear record of client requests, decisions, approvals and changes.

 

2. Manage client expectations

- Ensure client expectations are aligned with project scope, timeline, budget and available resources.

- Clearly communicate project status, dependencies, risks and potential impacts to clients.

- Proactively flag potential delays or issues instead of waiting until problems occur.

- Manage changes in scope and communicate the impact on timeline, resources and budget.

- Handle day-to-day client issues professionally and work with the Account Director/Project Lead when escalation is required.

 

3. Develop account understanding

- Understand the client's business, brands, target audience, communication objectives and competitive environment.

- Build sufficient knowledge of the client's business to provide relevant recommendations and support.

- Identify opportunities to improve service quality and strengthen the client relationship.

- Support the Account Director & BOD in identifying potential opportunities within existing accounts.

 

3. PROJECT MANAGEMENT

A. Project Planning

- Take ownership of project execution from briefing to final delivery.

- Break down client requirements into clear project scopes, deliverables and action plans.

- Develop and maintain detailed project timelines and milestones.

- Define key tasks, responsibilities, dependencies and deadlines for each project.

- Coordinate with relevant internal teams including Strategy, Creative, Content, Production, Media, Digital, Social and other functions depending on project requirements.

- Ensure all stakeholders understand their responsibilities and deadlines before project execution begins.

 

B. Project Execution

- Coordinate and manage multiple projects simultaneously.

- Monitor project progress against agreed timelines, scope and deliverables.

- Conduct regular internal project follow-ups and status checks.

- Ensure internal teams have complete and accurate information to execute the work.

- Consolidate feedback from different stakeholders and provide clear direction to internal teams.

- Manage client feedback and revision rounds effectively.

- Ensure deliverables meet agreed requirements before sending to clients.

- Follow up on approvals and ensure projects move forward according to plan.

 

C. Timeline & Deadline Management

- Own the overall project timeline and proactively manage critical milestones.

- Identify dependencies that may affect project delivery.

- Track pending actions and follow up with responsible stakeholders.

- Identify potential delays early and develop mitigation plans.

- Escalate critical timeline risks to the Account Director with clear recommendations.

- Ensure deadlines are realistic, communicated and agreed by all relevant stakeholders.

 

D. Scope & Change Management

- Clearly define project scope at the beginning of each assignment.

- Monitor whether new requests are within the agreed scope.

- Identify scope creep and communicate its potential impact.

- Work with the Account Director/Finance team when additional resources or costs are required.

- Ensure scope changes are properly documented and approved before execution where applicable.

 

E. Quality Control

- Conduct an initial quality check before deliverables are shared with clients.

- Ensure work is aligned with the approved brief, brand guidelines and client requirements.

- Check content, format, key messages, specifications and required deliverables.

- Coordinate revisions and ensure feedback is fully addressed.

- Take responsibility for ensuring the final output is client-ready.

 

4. INTERNAL TEAM MANAGEMENT

- Act as the bridge between clients and internal execution teams.

- Translate client briefs into clear, actionable internal requirements.

- Coordinate resources across different departments.

- Ensure teams understand priorities, deadlines and expected outputs.

- Monitor workload and identify resource conflicts or bottlenecks.

- Facilitate internal alignment when multiple teams are involved.

- Encourage clear ownership of tasks and accountability within the project team.

- Escalate resource or performance issues to the Account Director when necessary.

- Maintain a collaborative and professional working relationship with internal stakeholders.

The AM should be able to answer at any point:

What needs to be done, who owns it, when is it due, what is blocking it, and what happens next

 

5. PROJECT TRACKING & REPORTING

- Maintain project trackers, timelines and status reports.

- Keep all project information updated and accessible to relevant stakeholders.

- Prepare regular project status updates for clients and/or internal management.

- Track:

- Project milestones

- Deliverables

- Pending actions

- Client approvals

- Internal dependencies

- Risks/issues

- Budget-related information

- Scope changes

- Ensure meeting minutes and action items are documented and followed through.

- Prepare project summaries and post-project reports when required.

 

6. BUDGET & COMMERCIAL MANAGEMENT

- Support the Account Director in managing project budgets and account profitability.

- Track project costs against approved budgets.

- Coordinate with Finance/Operations to monitor project financial status.

- Ensure project execution stays within approved scope and budget.

- Identify potential cost overruns and communicate risks early.

- Support quotation, estimation and proposal preparation when required.

- Follow up on client POs, contracts, invoices or payment-related matters where applicable.

- Understand the commercial impact of project decisions and changes.

- The AM is not expected to be a Finance specialist, but must understand how project decisions impact cost, revenue and profitability.

 

7. PROBLEM SOLVING & RISK MANAGEMENT

- The AM is expected to identify problems before they become client problems.

Responsibilities include:

-             Identify potential risks related to timeline, resources, quality, scope or client expectations.

-             Assess the impact of issues and propose practical solutions.

-             Coordinate relevant stakeholders to resolve issues.

-             Escalate issues appropriately when they exceed the AM's authority.

-             Present problems together with recommended solutions, rather than simply reporting problems.

-             Maintain contingency plans for critical deliverables where appropriate.

-             Conduct post-project reviews to identify lessons learned and improve future execution.

 

8. ACCOUNT GROWTH & CLIENT DEVELOPMENT

- Identify potential opportunities based on client needs and ongoing projects.

- Recommend additional solutions/services when relevant.

- Support the Account Director/ BOD in developing proposals and presentations.

- Participate in client pitching/presentation when required.

- Understand client business priorities and identify areas where WOWU can add value.

- Support client retention through consistent service quality and proactive account management.

 

REQUIREMENTS

Experience

- 5+ years of experience in Account Management, Project Management, Integrated Marketing, Advertising, Digital, Creative Agency or related fields.

- Experience managing multiple projects and clients simultaneously.

- Experience working with cross-functional teams.

- Agency experience is preferred.

- Experience managing integrated campaigns/projects is a strong advantage.

- Understanding of project costing, budgeting and profitability.
