Fast-paced and growing B2B products company seeking a highly organized, detail-oriented Sales Assistant to support the CRO and sales team across multiple industries (cannabis, cigars, EV, energy, food, and more).
The Sales Assistant will focus on day-to-day commercial execution: preparing quotations for customers, maintaining and updating sales trackers, coordinating with designers to create client-facing proposals, managing HubSpot pipeline updates, and handling customer success follow-ups. The ideal candidate is very strong in Excel, confident in English (oral and written), ambitious in sales, and comfortable working in a dynamic startup environment with changing priorities.
Essential Duties & Responsibilities:
- Prepare accurate quotations and pricing sheets for customers using Excel and Google Sheets.
- Maintain and update sales trackers, margin calculations, and deal status records.
- Work with the designer to turn technical and commercial information into clear, visually attractive sales proposals and pitch decks.
- Update and maintain HubSpot with contacts, companies, deals, and tasks; keep deal stages and notes current.
- Support the CRO with day-to-day sales activities, including scheduling, call preparation, and follow-up emails.
- Track ongoing and existing deals, set reminders, and ensure no follow-up is missed.
- Support customer success: respond to customer questions, coordinate sample shipments, gather feedback, and escalate issues to the sales or technical team when needed.
- Conduct light online research for prospects, industry background, and basic market intelligence when required.
- Collaborate with cross-functional team members in marketing, design, and operations to ensure smooth execution of projects.
Qualifications & Competencies:
- Based in Vietnam and able to work full-time remotely.
- Excellent English communication skills, both oral and written.
- Superb Excel and Google Sheets skills (formulas, basic analysis, organized formatting).
- Strong attention to detail and accuracy in numbers, spelling, and document formatting.
- Strong organizational skills; able to manage multiple tasks and deals in parallel.
- Experience using CRM tools; HubSpot experience is a strong plus.
- Prior experience in sales support, inside sales, account management, or customer success is preferred.
- Comfortable working with international teams and cross-cultural communication.
- Ambitious about a long-term career in sales and business development.
- Comfortable with remote work and high professional standards, including confidentiality and responsiveness.
- Comfortable with remote work and possesses high professional ethics, including adherence to confidentiality requirements.
Location/Travel:
- Work is primarily online, based in Vietnam.
- Collaboration with team members in China, the United States, and other regions via Zoom and WeChat.
Compensation:
- Monthly salary: 400 USD 10,546,000 VND
- Performance-based increases and bonuses may be considered after the initial period based on results and fit.
