Job Overview:
The
Internal Project Manager (PM) works closely with AI squads to own planning, execution, and delivery outcomes of internal AI initiatives. This role goes beyond coordination — it focuses on driving delivery, managing scope and risks, enforcing execution discipline, and leveraging AI to improve operational efficiency.
Key Responsibilities:
- Project Planning & Delivery Ownership
- Own end-to-end planning and execution of internal AI initiatives (PoC, MVP, internal tools)
- Work with AI Product Manager to define scope, timelines, milestones, and success criteria for each initiative
- Prioritize initiatives and tasks based on business impact and resource constraints
- Drive delivery to meet committed timelines and outcomes
- Execution Management & Tracking
- Maintain single-source-of-truth visibility for all internal AI initiatives
- Track tasks, deliverables, and dependencies across squads
- Proactively identify and resolve blockers, risks, and cross-squad dependencies
- Ensure tasks are clearly scoped, assigned, and consistently updated in the tracking system
- Stakeholder Management & Communication
- Act as the primary point of contact between AI teams and internal stakeholders (PMO, Product, Business, Leadership)
- Align stakeholders on priorities, scope, and delivery expectations
- Prepare weekly status reports and bi-weekly leadership updates
- Escalate risks, delays, and trade-offs early with clear recommendations
- Translate technical updates into business impact and vice versa
- Risk, Scope & Change Management
- Continuously assess project health and identify delivery risks
- Manage scope changes and ensure alignment with stakeholders
- Drive trade-off decisions (timeline vs scope vs quality)
- Ensure initiatives stay aligned with overall business objectives
- Process & Workflow Optimization
- Standardize ways of working across squads (planning, tracking, documentation, reporting cadences)
- Identify workflow inefficiencies and propose AI-leveraged improvements
- Ensure compliance with internal governance and delivery standards
- Data & Reporting
- Track delivery metrics (throughput, cycle time, initiative health)
- Build and maintain lightweight dashboards for leadership visibility
- Support data-driven prioritization and resource allocation decisions
- Team Operations (Light Touch)
- Facilitate key ceremonies (planning, reviews, retros)
- Document decisions, action items, and ensure follow-through
Key Requirements:
Experience
- 2–5 years in Project Management, Technical Program Management, or Ops Lead roles
- Experience working with AI / ML or Data Engineering teams is a strong plus (not mandatory)
- Experience managing projects with ambiguity, changing scope, and cross-functional stakeholders
Preferred (Nice-to-have)
- Familiarity with AI/ML project concepts:
- Differences between PoC, MVP, and Production
- Basic understanding of data dependencies, experimentation cycles, and model lifecycle
- Exposure to common challenges in AI projects (data quality, evaluation, iteration cycles)
AI Mindset (Required)
- Demonstrated curiosity about AI (required, not nice-to-have)
- Willingness to learn and apply AI tools in daily work
- Ability to use AI tools to improve productivity (reporting, summarization, tracking, etc.)
Preferred Mindset
- Structured and detail-oriented (able to turn ambiguity into clear systems)
- Proactive and ownership-driven (drives outcomes, not just tracks tasks)
- Comfortable working in fast-paced and ambiguous environments
- Strong interest in AI and technology
Skills
- Strong project management fundamentals (planning, prioritization, risk management, stakeholder alignment)
- Strong organizational, follow-up, and written communication skills
- Proficient in [Primary Tool – e.g., Jira + Confluence OR Notion] (TechX standardizes on one)
- Strong Excel / Google Sheets skills for reporting; BI tools (Metabase, Looker) are a plus
- Sufficient technical literacy to challenge assumptions and validate estimates (not a passive note-taker)
