About the role
The Program Leader (PL) is an operational role and has a key responsibility in delivering AsiaMotions programs. The PL is in charge for the quality of a program in terms of delivering activities, operational execution, communication with teachers, programs safety and overall decisions during the program.
We are looking for a member who has a great interest in this field of Adventure and Outdoor education, a self-driven team player. The position requires taking ownership of the assigned program and completing the tasks required to prepare, manage and deliver the program best to the companys standard. The PL will work alongside Program Manager (PM) and report to Operation Director, supporting AsiaMotions in all aspects of program organization.
Working environment
- Place of work:
- Vietnam Outdoors Co. Ltd. office (No 13 Street 46, Thao Dien Ward, Thu Duc City, HCMC, Vietnam).
- Locations of programs.
- Working time:
- At office: from Monday to Friday, 9:30am 5:30pm (can be flexible)
- At events sites: based on programs requirements.
Responsibilities
- Manage AsiaMotions programs, including preparation execution closing.
Preparation:
- Receive information handover for the assigned events. Make sure that you have caught up with the events status and information before the meeting with clients.
- Meet online with clients (usually trip leaders) to introduce yourself and ensure confidence from clients for you as the leader of the program, answering and following up on questions and queries if any.
- Prepare documents for the programs following preparation process, and keep them updated.
- Double check with PM and with clients to make sure all required information of participants have been collected and updated if any.
- Check and prepare equipment for the programs.
Execution:
- Be the main contact point onsite for clients throughout the programs. Reach out or report to Operations Director (OD) if needed in case of emergency, beside the brief daily check-in with OD as part of Standard Operations Procedures.
- Make sure that all team members have been reinforced for good presence and work attitude across the trip towards participants/clients, teammates, suppliers and other guests (Code of Conduct is the guideline).
- Make sure that all team members have well prepared and rehearsed for their activities (including briefings, group management, safeguarding, safety management and emergency protocol) and well prepared for back-up plans.
- Make sure the activity suppliers (when we collaborate with them on the program) are well prepared for our activities requirement well in advance (reiterated during pre-program if needed).
- Observe and provide necessary feedback to the team members for better quality of job delivery and job growth.
- Manage the team and the program flow to ensure high quality of experience for clients, including managing clients requests and expectations.
- Coordinate with PM for decision making with on-site situations.
- Be the main spokesperson from the start and throughout the programs.
Closing:
- Complete post-program tasks/documents (post-program review, satisfaction survey, internal event feedback, freelance assessment, incidents report, equipment report).
- Sort out and check equipment when arrived back to office for maintenance.
Requirements for the position
- Expats or native Vietnamese with fluent English skills.
- Proficient in all business software (mainly MS Office).
- Demonstrate strong leadership skills, cohering to team members.
- Excellent in communicating and listening skills as well as public speaking.
- A self-driven individual and a team player respecting and contributing to the common culture in the workplace.
- Proactive and excellent in problem solving with a high sense of responsibility.
- Well-organized and attentive to risk management and safety management, possessing a customer-focused mindset.
- Travel for the purpose of programs.
- 1 year of prior experience in program organization and program leading.
