Roles and Responsibilities:
Purpose: This position is a Customs Administration & Operations Support role that provides hands‑on operational and administrative support for Heineken Vietnam's import and export customs activities.
Main Responsibility:
1. Customs Operations & Coordination:
- Support day‑to‑day customs operations, coordinating with 4PL/FWD, internal departments, and Customs authorities throughout the clearance process.
- Track customs declaration status, clearance progress, and pending actions; proactively follow up to ensure timely resolution and smooth execution.
- Support execution of corrective action plans and contribute to continuous improvement of E2E customs procedureCustoms Operations & Coordination:
2. Data Reconciliation & Change‑of‑Usage Support:
- Perform customs data reconciliation and historical record reviews, including mapping duty‑free imported machinery and equipment against the fixed assets register.
- Support change‑of‑usage purpose cases by ensuring consistency between customs declarations, supporting documents, and internal records
3. Customs Correspondence & Authority Liaison
- Assist in preparing, following up, and handling official correspondence with Customs, acting as the single point of contact for administrative works, including clarifications, explanations, and additional document submissions under HVN's guidance.
- Support direct on‑site coordination and engagement with Customs authorities in cases where the presence of an HVN representative is required to provide explanations, submit information as requested by Customs, or participate in physical inspection of goods, as assigned by Category Lead
4. HS Classification & Compliance Support:
- Support the review and verification of HS codes for various categories of goods, including raw materials, machinery and equipment, spare parts, and POSM, coordinating with relevant internal stakeholders to ensure accuracy and regulatory compliance
- Support to monitor and update with new or amended regulations related to customs laws and procedures, and support practical application in daily customs operations
- Proactively identify and flag compliance risks, data inconsistencies, or gaps to the HVN Customs Lead for timely mitigation
5. Documentation Management, Post‑Clearance Audit & Reporting
- Maintain a structured customs documentation filing system, including both soft and hard copies, ensuring records are complete, well‑organized, visualized and easily retrievable.
- Support preparation of documentation for customs valuation, post‑clearance audits, inspections, external audits, and internal reviews.
- Assist in customs KPI tracking and reporting (e.g. clearance lead time, clarification cases, compliance issues) for internal monitoring and reporting
6. Process Improvement & Knowledge Management
- Support updating and maintaining SOPs, checklists, templates, and master data related to customs operations.
- Capture and document lessons learned from customs cases to support standardization and knowledge transfer.
- Proactively escalate data gaps, procedural deviations, or compliance risks identified during daily operations to the HVN's Category Lead
Experience / skills required:
- 6 months to 1 year of experience in logistics, supply chain, and customs operations & management (open to fresh graduates)
- Solid understanding of import/export customs procedures, documentation requirements, basic HS classification, and logistics flows
- Experience working with customs authorities and regulatory bodies
- Proficient in Excel and data handling tools for analyzing, comparing, and reconciling customs and asset data
- Ability to use customs systems and internal databases to extract, structure, and visualize data for monitoring and reporting
- Awareness of potential risks arising from documentation or data gaps, including tax exposure, penalties, or audit findings
- Ability to identify compliance risks such as misclassification, inconsistent declarations, unsupported exemptions, or incomplete audit trails
- Demonstrated ability to use digital tools, dashboards, or trackers for logistics optimization and reporting
Qualifications:
- Bachelor's degree in Business Administration, Supply Chain Management, Engineering, or related field;
- Knowledge of customs, international logistics and risk management preferred
Language(s): Fluent in Vietnamese and English (written and spoken)
