B. ROLE SUMMARY
We are looking for a highly organized and people-oriented Operations Manager to be the operational backbone of our company. This person sits at the intersection of our Project and Finance teams, ensuring smooth information flow, deadline accountability, team discipline, and a strong company culture.
Reporting directly to the Directors/ Founders, this is a hybrid role combining operations coordination, people management, and internal coaching.
C. Key Responsibilities
1. Cross-Team Coordination
- Manage and streamline paperwork flow between the Project Management team and Finance team (contracts, invoices, payment requests, project documentation)
- Ensure documents are completed accurately, submitted on time, and properly filed
- Act as the central point of contact for internal process issues between departments
2. Deadline & Schedule Management
- Maintain a master tracker of all internal deadlines across projects and departments
- Issue reminders and follow-ups to relevant team members proactively
- Flag risks and bottlenecks to Directors before they become problems
- Conduct weekly internal check-ins to review progress across teams
3. Team Discipline & Standards
- Uphold and enforce company policies, working standards, and professional conduct
- Monitor attendance, punctuality, and adherence to internal SOPs
- Work with leadership to address performance issues constructively and consistently
- Develop and update the company's internal operation guidelines and employee handbook
4. Company Culture & Activities
- Plan and organize internal company events — team bonding, celebrations, quarterly reviews, and milestone recognition
- Foster a positive, motivated, and cohesive workplace culture
- Gather team feedback and communicate it constructively to management
5. Internal Coaching & Staff Development
- Conduct regular coaching sessions on general office and professional skills — communication, time management, email etiquette, meeting conduct, documentation habits
- Identify skill gaps among office staff and design simple in-house training sessions
- Onboard new employees and guide them through company processes and culture
Proficient in office tools — Excel/Google Sheets
What This Role Is NOT
To set clear expectations, this role does not involve:
- Managing client relationships or project delivery directly
- Making financial decisions or approving budgets
- Replacing the role of Project Managers on-site
