Xenia Tech is seeking an organized, proactive, and energetic Operations Executive who will work closely with the Operations Manager to provide administrative and operational support, working closely with the Operations Team. This role is ideal for an eager and adaptable individual looking to grow their skills in a dynamic environment, supporting both corporate and entrepreneurial endeavors. The successful candidate will play a crucial role in enhancing efficiency and contributing to the team&aposs success.
Key Responsibilities:
- Support in filtering, prioritizing, drafting, and responding to emails and other communications, maintaining professionalism and confidentiality.
- Assist in organizing and maintaining digital and physical files, and preparing basic reports and documents as required.
- Provide support for the preparation, review, and tracking of contracts and agreements with the Client.
- Coordinate with various departments (HR, Accounting, Delivery) to ensure smooth day-to-day operations.
- Assist with processing and tracking expenses and managing invoices.
- Support various projects and initiatives as assigned, working under guidance to help meet deadlines.
- Handle ad-hoc duties to ensure smooth day-to-day operations.
- Support in processing, tracking, and coordinating customer orders from various channels.
- Support in communication and follow-up with suppliers.
Requirement:
- English Level: Conversational
- Some administrative experience (e.g., internships, part-time roles) or a strong desire to learn and grow in an administrative support role.
- Good research, organizational and time management skills, with the ability to manage multiple tasks.
- Demonstrates discretion and ability to handle confidential information.
- Proactive, eager to learn, and willing to problem-solve.
- Ability to work independently and as part of a team.
- Familiarity with project management tools or CRM software is a plus.
