We are looking for an Administrative Assistant to join our sister recruitment agency business, ASW Consulting (www.consulting.aswhiteglobal.com). This role will be responsible for the management and execution of various administrative and regulatory tasks which support ASW Consulting's daily operations.

Responsibilities

  • Provide administrative support to the Recruitment team, ensuring efficient handling of tasks such as creating job requisitions, formatting CVs, updating candidate profiles
  • Assist in writing and posting high-quality job advertisements
  • Support with the preparation of key documents such as contracts, invoices in coordination with relevant stakeholders and/or other departments
  • Work with Recruiters and provide clerical support as needed: store all paperwork in designated places, create or update records with new files and information, digitalize all important documents, and monitor inventory
  • Assist with company's events
  • Prepare and consolidate data for weekly and monthly reports
  • Help with spot-checks and reviews of system data integrity with key area of concerns
  • Answering landline phone calls and managing local enquiries mailbox
  • Any other tasks or projects as deemed helpful and necessary

Qualifications

  • Bachelor's degree in HR, Communications, or a related field
  • Intermediate to advanced skills with MS Office 365 applications
  • A background in administrative roles or recruitment support
  • Strong written and verbal English communication skills
  • Team player and collaborative approach
  • Strong attention to detail
  • Solid work ethic, positive attitude, and openness to learning
  • This role will be considered a key member of the team requiring a high level of accountability, professionalism, and confidentiality

Work setup

  • Ho Chi Minh City (Ree Tower, Xom Chieu Ward): Vietnam business hours (8 am – 5 pm) with a hybrid setup (3 days on site, 2 days remote)
