The SWAT Team – Warehouse Launch Assistant Manager is responsible for executing go-live for new warehouse openings, ensuring system/process/people readiness, stabilizing operations during the hypercare phase, and completing a structured handover to Warehouse Operations. This role focuses on system building and governance to help sites reach stable operations quickly and scale effectively in the following months.
Job Description
- New Warehouse Launch Ownership (End-to-End)
- Lead the end-to-end new warehouse launch plan across phases: Readiness, Go-live, Hypercare, Handover, with clear gates and exit criteria.
- Establish launch governance: daily shopfloor cadence, escalation ladder, action tracker, and issue severity model (S1/S2/S3).
- Manage RAID (Risks/Assumptions/Issues/Dependencies) and ensure timely closure against deadlines.
- Process Design & Standardization (IB/OB/INV/Return)
- Develop the end-to-end Golden Flow (Inbound, Putaway, Replenishment, Picking, Packing, Outbound, Returns/Reverse) and the exception playbook.
- Standardize 1-page SOPs / work instructions with non-negotiables: scan & location discipline, staging rules, and quality gates.
- Drive bottleneck removal and quick wins (layout rules, WMS rule tuning, line balancing).
- Performance Stabilization (Hypercare)
- Coordinate site issue resolution by priority to ensure backlog does not expand, SLA meets the minimum bar, and operational risks are controlled.
- Standardize operational capabilities: staffing model, shift design, and surge/backlog clearance playbook.
- Lead root-cause analysis (Pareto/5-Why) and implement CAPA (Containment–Corrective–Preventive).
- System & Data Readiness (WMS / Dashboard / Controls)
- Partner with Tech/BI/WMS to ensure readiness of: master data, location profiles, user roles, printing/label setup, cutover plan, UAT/SIT, and go-live checklist.
- Set up a control tower: backlog by step, aging, SLA and productivity/quality/inventory signals.
- Monitor data integrity and compliance (missing scans, duplicated statuses, timestamp mismatches) and coordinate upstream fixes.
- People Enablement & Handover
- Build the site operating system (tier meetings, KPI board, audit checklist) to reduce dependency on SWAT.
- Deliver the handover pack: final SOPs, KPI baseline, open issues list, lessons learned, and rollout templates for the next sites.
Requirements
- 7–10 years of experience in Warehouse Operations / Process Excellence / Launch / Implementation (e-commerce/3PL/retail DC).
- Proven experience in new warehouse go-live or site expansion: process setup, staffing model, hypercare, and handover.
- Strong problem solving and structured execution: RCA, CAPA, project management, stakeholder management.
- Solid warehouse fundamentals: inbound/putaway/replenishment/pick/pack/dispatch/inventory control; exposure to returns/reverse is a plus.
- Data-analysis: experience with SQL/BI tools/dashboards is an advantage; good understanding of metrics and control tower concepts.
- Willing to be on-site/travel for project needs; able to perform under high pressure during warehouse launches.
- Strong communication skills (Vietnamese/English) to align cross-functional stakeholders.
