Job Descriptions
1. Sales Operations & Order Management
- Take ownership of end-to-end export sales order operations, from order confirmation to final delivery, ensuring accuracy, compliance, and timeliness.
- Coordinate closely with the Export Sales team and cross-functional departments (Production, QA, Manufacturing, Compliance) to ensure smooth execution of international orders.
- Plan and monitor production schedules and shipment timelines to meet delivery commitments for global customers.
- Act as the key liaison between Export Sales and internal teams to resolve operational issues and ensure seamless order fulfillment.
- Manage sales forecasts and continuously improve forecast accuracy to support business planning.
- Maintain and optimize CRM/SAP systems and sales databases to ensure reliable tracking of orders, performance, and customer data.
- Apply disciplined operational practices to enhance service quality, forecast reliability, and financial performance across regions.
2. Process Optimization
- Identify gaps and inefficiencies in order processing, planning, and delivery workflows, especially in export operations.
- Drive continuous improvement initiatives to streamline end-to-end sales order processes and enhance operational efficiency.
- Standardize and align processes across regions to ensure consistency and optimize overall sales team performance.
- Document and improve procedures related to order handling, shipping, and delivery.
- Support the Sales team with export-related documentation (certificates, compliance documents, product recalls, quality issues).
3. Sales Data Analysis & Strategy
- Build and manage a centralized data system for sales operations to support fast and accurate business insights.
- Monitor KPIs and sales performance to ensure targets are achieved.
- Develop dashboards and reports that provide actionable insights for decision-making.
- Analyze data to identify trends, risks, and opportunities in export markets.
- Support leadership with data-driven recommendations for strategic planning.
4. Financial Settlement & Transaction Monitoring
- Oversee the settlement of export-related transactions, including accounts receivable and vendor payments.
- Monitor and validate logistics and operational costs (freight, laytime, and other shipping-related charges).
- Coordinate with Finance to ensure accurate reconciliation and minimize financial risks in export operations.
5. Team Leadership & Development
- Build and structure the Sales Operations team to support export business growth.
- Recruit, train, and manage team members with clear roles and performance expectations.
- Establish KPIs and foster a high-performance culture focused on accountability, collaboration, and continuous improvement.
Job Requirements
- Bachelor's degree or higher in Business Administration, International Business, Logistics, Finance, or a related field.
- Minimum 7 years of experience in sales operations, with strong hands-on experience in managing export sales orders and international order fulfillment.
- Proven experience working with CRM/SAP systems and sales operations processes.
- Strong understanding of export procedures, documentation, and logistics coordination.
- Strong numerical, analytical, and problem-solving skills with high attention to detail.
- Ability to manage data, generate insights, and support strategic decisions.
- Excellent communication and stakeholder management skills (internal teams, customers, and management).
- Proficiency in English; knowledge of Chinese is an advantage.
- Advanced skills in MS Office and data reporting tools.
