We are looking for a motivated and detail-oriented Sales Admin to support our Sales team and help ensure smooth day-to-day coordination across documentation, reporting, and internal operations.

Position Summary

The Sales Admin will play a key coordination role in supporting the Sales Department through accurate documentation, data management, reporting, and cross-functional follow-up. This position is well suited to someone who is organized, responsive, careful with details, and eager to build a solid professional foundation in a dynamic business environment.

Key Responsibilities1. Sales Documentation and Order Support

Receive, check, and update sales order information from the Sales team.

Prepare, organize, and maintain sales-related documents, including contracts, quotations, purchase orders, handover records, and other supporting paperwork.

Coordinate with relevant departments to ensure documents are complete, accurate, and properly archived.

Support the Sales team in following up on document flow and internal approval processes.

2. Reporting and Data Management

Prepare and consolidate periodic sales reports on a daily, weekly, and monthly basis.

Update and maintain customer, sales, and order information in internal systems or CRM tools.

Ensure data accuracy, consistency, and timely reporting for management review.

Support the standardization of records, templates, and administrative workflows within the department.

3. Coordination with Finance and Related Teams

Work closely with Accounting and relevant departments to support receivables tracking and related documentation.

Assist in monitoring payment status and reminding the Sales team of key follow-up items in line with internal procedures.

Support the preparation of basic reports and data required for sales operations and financial coordination.

4. Internal Administrative Support

Arrange meetings, prepare meeting materials, and follow up on action items when required.

Act as a coordination point between the Sales Department and other internal teams such as Accounting, HR, Operations, and Administration.

Provide general administrative support to help the Sales Department operate effectively and professionally.

RequirementsQualifications

Bachelor's degree or College diploma in Business Administration, Commerce, Accounting, International Business, or a related field.

Fresh graduates with strong potential are welcome to apply. Prior experience in Sales Admin, Sales Support, Back Office, Commercial Administration, or similar roles is an advantage.

Good command of Microsoft Office, especially Excel and Word.

Strong attention to detail, good time management, and the ability to handle multiple tasks efficiently.

Basic English reading and writing ability is preferred.
