Project Manager - Culinary Operations & ClickUp Administration
Working time:9 AM - 5 PM ET (New York office hours) or 8 PM - 4 AM (Vietnam Time).

COMPENSATION: USD $1,300-$1,800 per month

About the Role
Orbital Kitchens is seeking a highly organized Operations Project Coordinator to support culinary initiatives, product changes, training, and cross-functional communication. You will coordinate work across culinary leadership, kitchen managers, store teams, marketing, training, and other stakeholders.
A major part of this role is maintaining ClickUp, leading recurring operational meetings, documenting decisions, and ensuring that new recipes and product changes move from planning through launch without important details being missed.
Key ResponsibilitiesProject & ClickUp Administration
• Serve as the primary administrator for culinary and product-related projects in ClickUp.
• Create and maintain tasks, workflows, templates, deadlines, dependencies, and dashboards.
• Keep ownership and project status accurate; follow up on overdue or blocked action items.
• Identify gaps, risks, and conflicting information before they affect a launch.
Culinary & Product Launch Coordination
• Coordinate weekly recipe, menu, and product-change activities from review through launch.
• Participate in Culinary R&D discussions and document decisions, next steps, and ownership.
• Confirm that approved changes are ready for training and implementation.
• Maintain a clear pipeline of proposed, in-review, approved, and scheduled changes.
Training & Meeting Coordination
• Review upcoming launches with kitchen managers and determine whether additional training is required.
• Coordinate training needs and ensure supporting recipes, procedures, and materials are ready before launch.
• Prepare agendas and lead assigned coordination meetings; capture decisions, owners, and deadlines.
• Distribute concise meeting summaries and recommend when a meeting can be simplified or replaced with a written update.
Cross-Functional Communication
• Provide marketing with timely, accurate updates about relevant product changes.
• Coordinate with store managers and kitchen teams on finalized recipe and menu changes.
• Support communication related to SKU, ingredient, and packaging updates.
• Keep stakeholders aligned across teams, locations, and time zones; escalate risks and unresolved decisions.
Qualifications
• At least two years of experience in project coordination, operations, administrative project management, or a similar role.
• Strong working knowledge of ClickUp or a comparable project-management platform.
• Excellent written and spoken English, including the ability to lead virtual meetings.
• Strong organization, attention to detail, and follow-through across multiple workstreams.
• Confidence following up assertively and respectfully to keep work moving.
• Ability to work independently in a fully remote environment.
• Reliable computer, internet connection, and professional remote workspace.
• Availability to attend required meetings with the U.S.-based team.
Preferred Experience
• Restaurant, food-service, hospitality, retail, or multi-location operations.
• Recipe launches, menu changes, training programs, product development, or packaging updates.
• Cross-functional coordination involving operations, marketing, and training teams.
• Improving workflows, templates, meeting structures, or reporting systems.

• Made recurring meetings organized, efficient, and consistently action-oriented.
• Helped recipe, menu, and product changes move smoothly from discussion to training and launch.
• Reduced the time leadership spends tracking routine updates and following up on action items.
• Built trust by identifying risks and missing information early.
