Role Description:
People Operations & Payroll
- Manage end-to-end employee lifecycle activities, including onboarding, offboarding, internal transfers, role changes, and promotions.
- Prepare, manage, and maintain employment contracts, contract amendments, official letters, and employee records in compliance with company policies and Vietnam labor regulations.
- Process monthly payroll accurately, including salary, overtime, allowances, deductions, and bonuses (if applicable).
- Handle procedures related to Social Insurance, Health Insurance, Unemployment Insurance, and Personal Income Tax in accordance with applicable laws and regulations.
Operations & Administration
- Oversee daily office operations and administrative activities to ensure a smooth, efficient, and compliant working environment.
- Manage office facilities, equipment, and supplies; coordinate with vendors and monitor operational expenses.
- Maintain and update administrative, HR, and operational documentation, ensuring confidentiality and compliance with record retention regulations.
- Support other administrative and operational tasks as required.
Data, Systems & Process Improvement
- Build and maintain a centralized HR data system to ensure data accuracy, consistency, and security.
- Coordinate the implementation and daily operation of internal systems and tools.
- Track implementation progress and employee adoption; identify issues and escalate when necessary.
- Ensure compliance with internal processes, guidelines, and system-related procedures across departments.
- Identify operational gaps and inefficiencies; propose and support continuous process improvements.
- Prepare regular reports on operations, risks, and improvement initiatives.
Requirements:
- Bachelor's degree in Human Resources, Business Administration, Law, or a related field.
- Minimum 2 years of relevant experience in HR Operations roles or related functions.
- Solid understanding of Vietnam labor regulations, payroll principles, PIT, and social insurance processes.
- Strong numerical accuracy, analytical thinking, and high attention to detail.
- Strong communication skills in Vietnamese; working proficiency in English is preferred.
- Service-oriented mindset with the ability to build effective working relationships across functions.
- High level of professionalism and integrity in handling confidential and sensitive information.
- Ability to work independently, manage priorities, and handle multiple tasks effectively.
- Proficient in HRIS systems and Microsoft Office (especially Excel/Google Sheets); experience with reporting or data tools is a plus.
