Job Description

JOB DESCRIPTION

This role supports the day-to-day operations of a premium commercial property portfolio, playing a key role in delivering high service standards, seamless operations, and an exceptional tenant experience, while safeguarding compliance and asset value.

Property Operations Management

  • Support the day-to-day operations of the property, ensuring a safe, efficient, and well-maintained environment

  • Coordinate and monitor service providers, including security, cleaning, landscaping, parking, and maintenance contractors

  • Conduct regular inspections of common areas, facilities, and tenant premises to ensure compliance with operational standards

  • Monitor service performance and follow up on corrective actions where required

  • Support the implementation of operational improvement and sustainability initiatives

Tenant Relationship Management

  • Serve as the primary point of contact for tenants on operational matters

  • Manage tenant enquiries, requests, and feedback in a timely and professional manner

  • Coordinate tenant onboarding, fit-out, reinstatement, and daily operational processes

  • Foster strong tenant relationships and support engagement initiatives to enhance satisfaction and retention

Contract and Vendor Management

  • Support procurement processes, including request for quotation, tender evaluation, vendor selection, and contract administration

  • Monitor vendor performance against contractual obligations

  • Review service reports, verify works completion, and process vendor claims and invoices

  • Maintain effective working relationships with vendors and service partners

Compliance, Governance & Risk Management

  • Ensure compliance with tenancy agreements, house rules, statutory requirements, and company policies

  • Monitor tenant and contractor adherence to safety, security, and operational standards

  • Support emergency preparedness, business continuity, and safety programs

  • Maintain accurate records, documentation, and operational reports

General administration

  • Provide administrative support, including preparation of memos, purchase orders, contracts, and service verifications

  • Manage administration of parking, access control, and tenant-related records

  • Prepare reports, presentations, and operational updates as required

  • Perform ad-hoc duties as assigned by the Supervisor

Stakeholder Management

1. External:
Liaise with Tenants, service providers (security, cleaning, M&E, parking operators), contractors, consultants, authorities and external stakeholders on operation matters.

2. Internal:
Collaborate closely with Property Management members, Operations, Leasing, Finance, Legal, Risk and Compliance, Marketing, and other internal teams.

JOB REQUIREMENTS

Qualifications & Experience

  • Diploma or bachelor's degree in Facilities Management, Business Administration or related disciplines

  • Minimum 2 years of relevant experience in property/facility management or related industries

  • Familiar with office administration and documentation processes

  • Customer-oriented with strong attention to detail and organization

Competency

  • Strong customer service orientation with effective stakeholder management skills

  • Good communication and interpersonal abilities

  • Ability to work independently and manage multiple priorities in a fast-paced environment

  • Strong coordination, problem-solving, and organizational skills

  • Knowledge of commercial building operations and tenant management is an advantage

  • Proficient in Microsoft Office applications

  • Basic English proficiency, with the ability to communicate in daily operation written and spoken contexts
