About the Role

We are seeking a proactive, highly organized, and people‑focused Office Manager to oversee daily office operations and support a positive, efficient, and engaging workplace. This role combines administration, facilities management, HR coordination, and employee experience-ideal for someone who thrives in a dynamic, fast‑paced environment.

Key Responsibilities

Office Operations & Administration

  • Manage day‑to‑day office operations to ensure smooth and efficient functioning.
  • Oversee procurement and inventory of office supplies, equipment, and services.
  • Handle mail, documentation, front‑office tasks, and general administrative support.

Facilities & Vendor Management

  • Act as the primary contact for building management, service providers, and contractors.
  • Coordinate office repairs, maintenance, and space improvements.
  • Manage vendor contracts and ensure high‑quality, cost‑effective services.

HR Administration & Employee Lifecycle Support

  • Coordinate onboarding and offboarding processes, including paperwork, system access, equipment preparation, and office orientation.
  • Support HR with maintaining employee records and compliance documentation.
  • Assist in organizing training sessions, induction programs, and internal learning activities.
  • Partner with HR on employee engagement initiatives and cultural programs.

Workplace Management & Employee Experience

  • Maintain a clean, safe, and welcoming work environment at all times.
  • Implement workplace policies, health & safety standards, and compliance protocols.
  • Support space planning, seating assignments, and workplace optimization.
  • Organize company events, celebrations, and team‑building activities.

Financial & Operational Support

  • Manage office budgets, expense tracking, and invoice processing.
  • Support leadership teams with meeting coordination, travel logistics, and administrative tasks.

IT & Systems Coordination

  • Coordinate with internal IT or external vendors to maintain office technology and equipment.
  • Support setup of hardware and systems for new and existing employees.

The Successful Applicant

  • Bachelor's degree in Business Administration, Office Management, Human Resources, or related field (preferred).
  • 3+ years of experience in office management, administration, or HR support roles.
  • Strong organizational, multitasking, and problem‑solving skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and workplace management tools.
  • High attention to detail, strong service mindset, and ability to handle confidential information.
