About Kaiterra
Kaiterra builds professional-grade air quality monitoring hardware and software for enterprise clients worldwide. We're a lean, distributed team headquartered in Hong Kong with operations across the US, China, India, and Canada. Our products ship to clients in 55+ countries, and logistics is a core part of how we deliver on our promise.
The Role
We're looking for a Logistics Operations Coordinator to own day-to-day fulfillment and shipping operations across our global warehouse network. This is a high-ownership role — you'll be the person who makes sure orders move, inventory stays healthy, and clients receive their shipments without friction.
You'll work closely with our sales, finance, and supply chain teams, and directly manage relationships with our 3PL partners in Hong Kong and the US.
What You'll Do
Daily
- Process outbound orders across multiple warehouse platforms (Zhenhub, ShipBob, ShipOut, ZTO) and update order management records in Cin7
- Generate and communicate shipping quotes for both simple and complex orders
- Track active shipments and escalate delays, customs holds, or delivery exceptions proactively
- Coordinate with warehouse partners and freight providers via email and WeChat
Weekly
- Review inventory levels across all warehouse locations and flag replenishment needs before stock runs low
- Reconcile shipping costs against quotes and investigate discrepancies
Ongoing
- Handle import/export documentation including packing lists, commercial invoices, and certificates of origin
- Support after-sales logistics: samples, replacements, and returns
- Coordinate factory outbound shipments from our manufacturer in China, including driver details and customs documentation
- Assist with finance reconciliation for freight invoices and warehouse billing
What We're Looking For
- 3–5 years of experience in logistics, freight forwarding, or international shipping operations
- Strong working knowledge of incoterms (DAP, DDP, EXW, FOB, CPT)
- Experience operating a WMS or 3PL platform (any of: Cin7/DEAR, ShipBob, Zhenhub, or equivalent)
- Comfortable with international customs documentation and working with freight forwarders
- Fluent in English; Mandarin or Cantonese is a strong plus for China-side coordination
- Detail-oriented and proactive — this role has real consequences if things fall through the cracks
- Comfortable working independently in a remote, distributed team environment
What Makes This Role Interesting
- You'll touch every geography we ship to — US, EU, Middle East, South and Southeast Asia, and more
- The role comes with real ownership: you'll be documenting SOPs, improving processes, and building systems, not just executing instructions
- You'll work with a small, sharp team that moves fast and gives you room to grow
How We Work
Remote, full-time. Core overlap hours with Hong Kong time (HKT). We use Asana, HubSpot, Slack, and WeChat. You should be comfortable switching between systems and communicating across time zones.
