Job Description – Inventory Control Manager
The Inventory Control & Reconciliation Manager is responsible for ensuring end-to-end inventory accuracy across systems and physical operations. This role oversees inventory reconciliation, stock count, return/refund validation, damage handling, and system synchronization (OMS–WMS–Seller Center), with a strong focus on minimizing discrepancies, preventing financial loss, and ensuring operational integrity.
- Key Responsibilities
- Inventory Reconciliation (Inbound Validation)
Perform monthly inventory reconciliation based on inbound records
Cross-check with Inbound (IB) team to ensure receiving accuracy
Reconcile inventory for:
OR items: WMS vs supplier invoice
CSM items: supplier data (M-1) vs actual received quantity
Identify, investigate, and resolve discrepancies in a timely manner
- Physical Inventory Control (Stock Count)
Conduct periodic stock count and reconcile physical inventory with WMS records
Ensure 100% brand coverage with at least one stock count per year
Comply with client-specific contractual requirements
Validate stock based on:
Quantity
Expiry date
Storage location
- Inventory Adjustment & Claim Handling
Execute inventory adjustments for all identified discrepancies
Record and track root causes for all adjustments
Manage claim and compensation processes with relevant stakeholders
- Damage Inventory Management
Perform monthly reconciliation of damaged inventory
Manage damage handling process:
3PL-related damage:
Conduct QC and classify (fully damaged / wholesale / giveaway)
Propose resolution plan and submit for approval
Ensure proper documentation
Warehouse-related damage:
Reconcile system vs physical stock
Retrieve original invoice
Process compensation claims
- Return / Refund & Claimback Management
- Return / Refund Validation
Validate return and refund requests from platforms and Customer Service teams
Ensure all returned orders (FD/CR) are accurately recorded in systems
Reconcile return data across platform, OMS, WMS, and internal systems
- Claimback (RTRF) Management
Verify and process Return-To-Fulfillment (RTRF) claims
Validate claims using order status and supporting evidence (POD, images, logs)
Coordinate with stakeholders (CS, 3PL, platforms) for resolution
Ensure all claims are processed within SLA
Develop and optimize ticket handling processes to improve efficiency and reduce errors
- Reconciliation & Tracking
Perform periodic reconciliation of return/refund data
Ensure no missing records or discrepancies
Classify return reasons (operations / 3PL / customer / platform)
Maintain full traceability and escalate abnormal cases or financial risks
- Inventory Synchronization (OMS – WMS – Seller Center Control)
- Monitoring & Reconciliation
Monitor inventory synchronization across OMS, WMS, and Seller Center
Perform reconciliation every 2 days to ensure data consistency
Identify discrepancies between:
Seller Center vs OMS
OMS vs WMS
Ensure stock accuracy to prevent overselling or underselling
- Discrepancy Handling & Coordination
Identify root causes of discrepancies:
Internal (business-related):
Campaign stock locking / allocation issues
Incorrect configuration or SKU mapping
→ Take corrective actions:
Adjust campaigns or allocations
Apply manual adjustments when required
System-related:
OMS/WMS sync failures or integration issues
→ Actions:
Coordinate with system partners for root cause analysis
Ensure issue resolution and follow-up
- System Monitoring & Improvement
Monitor system reports related to inventory synchronization
Identify recurring issues and propose process/system improvements
Work with Tech/OMS/WMS partners to enhance system performance
Track post-implementation results and improvements
Escalate high-risk discrepancies (e.g., oversell risk) immediately
Prioritize monitoring for high-selling and campaign SKUs

5–8+ years of experience in Inventory Control, Supply Chain, or eCommerce Operations
Strong experience in reconciliation, stock management, and audit processes
Hands-on experience with OMS, WMS, and marketplace Seller Centers (Shopee, Lazada, TikTok Shop, etc.)
Strong analytical and problem-solving skills with high attention to detail
Proven ability to manage cross-functional stakeholders (Inbound, Warehouse, CS, Tech, 3PL)
Experience in claim management, discrepancy handling, and root cause analysis
Ability to work under pressure and manage high transaction volumes
Good command of English (written and spoken)
