Job Description

As theIntern, HRIS (Human Resources Information System)the jobholder is responsible for supporting the implementation of a new cloud-based HRIS for our educational organization. This role provides practical exposure to HR systems, process standardization, and the establishment of essential HR functions.

A. KEY RESPONSIBILITIES

1. HRIS Implementation Support (70%)

  • Collaborate with the HR, IT Solutions & Applications and software vendor to configure and customize the HRIS system;
  • Assist in data migration, ensuring accuracy and integrity of employee information transferred to the new system. This may include formatting data, cleaning data, and verifying data accuracy;
  • Conduct thorough testing of the system to identify and resolve any issues related to functionality, data accuracy, and user experience;
  • Develop user-friendly training materials, including guides, FAQs, and potentially video tutorials, to support employees in using the new HRIS across all locations;
  • Provide initial support to employees during the transition to the new system, answering questions and troubleshooting basic issues;
  • Research, review and make recommendations for process improvement.

2. HR Administration (30%)

  • Assist in organizing employee engagement activities and events;
  • Prepare and distribute HR-related documents;
  • Translate some policies from Eng version into Vietnamese version and vice versa;
  • Make advance or payment request (if any);
  • Other tasks as assigned by HR Manager or Managing Director.

B.JOB REQUIREMENTS

  • Third- or final-year university student in Human Resources, Business Administration, Information Technology, Computer Science or a related field
  • Proficient in English skills (4 skills)
  • Strong attention to detail and a commitment to accuracy
  • Basic understanding of HR principles and practices
  • Proficient in Microsoft Office Suite, especially Excel
  • Ability to learn new software quickly and effectively
  • Strong problem-solving and analytical skills
