Job Description

Reporting to the Deputy CEO & CFO you will undertake a full range of secretarial and administrative duties for them and to ensure the efficient and effective running of their daily business.

A. Key Responsibilities:

1. Administrative Support:

  • Manage the schedules, arrange meetings, and organize events for the Core Management Team.
  • Prepare documents, reports, presentations, and other administrative tasks as required.
  • Coordinate and organize meetings, take minutes, and follow up on assigned tasks.
  • Information Management:
  • Collect, compile, and analyze necessary information for strategic decisions by the Core Management Team.
  • Maintain an organized filing system for information and documents, ensuring confidentiality and accessibility.

2. Communication and Coordination:

  • Act as the point of contact between the Core Management Team and other departments within the company, as well as external partners.
  • Handle and respond to requests, inquiries, and issues from stakeholders.

3. Project Support:

  • Assist the Core Management Team in the implementation and monitoring of strategic projects.
  • Track progress and report on the outcomes of projects, ensuring goals are met.

4. Budget Management:

  • Assist the Core Management Team in planning and managing the budget.
  • Monitor expenditures and prepare periodic financial reports.

5. Analysis and Reporting:

  • Analyze business, market, and competitor data to provide valuable insights for the Core Management Team.
  • Prepare periodic and ad-hoc analytical reports.
  • Perform other tasks assigned by the line manager.

B. Requirements

1. Education background requirements:

  • Bachelor's degree or higher, preferably in Business Administration, Economics, Finance, or related fields.

2. Experience/Industry requirements:

  • At least 3-5 years of experience in an executive assistant role or similar positions.
  • Excellent organizational and time management skills.
  • Strong communication and negotiation skills.
  • Analytical and problem-solving abilities.
  • Proficiency in office software (Microsoft Office, Google Workspace).
  • Detail-oriented, meticulous, and highly responsible.
  • Ability to work independently and as part of a team.
  • Maintain confidentiality and handle sensitive information discreetly.

3. Competency requirements:

  • Analysis & Problem Solving: Proactively identify and analyze issues by evaluating key data, isolating root causes, and providing well-reasoned solutions.
  • Client Centric: Foster strong relationships with key stakeholders and ensure a seamless, service-oriented experience.
  • Communication: Communicate with confidence and professionalism, tailoring messages to different audiences while fostering trust and credibility across all levelsboth internally and externally.
  • Accountability & Ownership: Effectively manage multiple tasks, projects, and resources, balancing priorities and adapting to changing demands to ensure seamless execution.
