Job Title: Executive Assistant to CEO

Location: Hanoi, Vietnam (on-site preferred)

Working Hours: Full-time

Expected start date: 15 25 Dec 2025

About Fanzeal Vietnam

Fanzeal Vietnam is a digital platform developer for football fans and a member of Fanzeal International, a Sweden-based startup. In partnership with the Vietnam Football Federation (VFF), we are the developer behind the VFF App. Our mission is to connect millions of fans with the national football teams and players through technology, engaging content, and vibrant fan communities.

This role is a rare opportunity to work directly with the CEO in a fast-moving startup at the intersection of sports and technology.

Role Overview

As Executive Assistant to the CEO, you will act as the CEO's frontline filter and coordination hub. You will help manage priorities, streamline communication, support basic legal/document review, and ensure that the CEO can focus on strategic decisions and high-impact work.

Key Responsibilities

1. Executive Support & Frontline Filter

  • Act as the CEO's first line of filtering for requests, information, and issues before they reach the CEO.
  • Monitor ongoing and pending tasks across departments and partners (Marketing, Tech/IT, Legal, Accounting, Media, etc.).
  • Maintain a clear task-tracking system and regularly review priorities with the CEO.
  • Manage the CEO's calendar, key reminders, and follow-ups; chase stakeholders for deliverables and decisions.

2. Coordination, Communication & Gatekeeping

  • Serve as liaison between the CEO and internal teams (Marketing, Product/Tech, Media, Accounting etc.). and external partner (Legal, Sponsor, etc.)
  • Screen and prioritize meeting requests, emails, and messages to protect the CEO's time.
  • Draft and review email communication, internal memos, reports, and presentations for clarity and professionalism.

3. Legal & Document Support

  • Support basic legal review of documents (contracts, MOUs, partnership agreements) for completeness, consistency, and alignment with templates before final approval by CEO.
  • Coordinate with legal and relevant stakeholders on document revisions, approvals, and signatures.
  • Organize and maintain structured filing of contracts, legal documents, and key company records.

4. Content Preparation & Research

  • Assist in preparing pitch decks, proposals, and business materials for partners, sponsors, and investors.
  • Conduct background research on partners, markets, competitors, and vendors when needed.
  • Consolidate team updates and data into concise summaries, briefs, or reports for the CEO.

5. Travel, Events & Other Support

  • Arrange business travel and logistics (flights, accommodation, schedules) for the CEO.
  • Support guest and client hospitality (welcoming, hosting, meeting arrangements).
  • Assist in planning and executing Fanzeal events such as app launches, marketing activations, and fan engagement events.
  • Handle ad-hoc projects, research tasks, translations, and occasional personal errands as agreed with the CEO.

Requirements

Qualifications & Experience

  • Bachelor's degree in Business, Economics, Communications, Languages, Technology, or related field.
  • 12 years of work experience.
  • Experience in assistant, coordination, or project support roles is a plus.

Skills

  • Strong English skills (spoken and written).
  • Good command of Google Workspace (Docs, Sheets, Slides) and/or MS Office (Word, Excel, PowerPoint).
  • Excellent organizational, time management, and multitasking abilities.
  • Clear, professional, and concise communication style.

Personal Traits

  • Able to act as the CEO's frontline filter and gatekeeper: screening information, prioritizing issues, and escalating only what matters.
  • Detail-oriented, responsible, and highly reliable.
  • Proactive, fast learner, and solution-oriented; comfortable figuring things out.
  • Adaptable to startup pace and culture; comfortable with change and ambiguity.
  • Able to maintain confidentiality and demonstrate high professional integrity.
