Role Overview
The Strategic Assistant serves as a key operational partner to the Director of Operations, ensuring strategic projects are executed on time, cost structures are optimized, and information flows efficiently across 9 operational regions. This role sits at the intersection of operations, finance, and project management — and is ideal for someone who is equally comfortable with spreadsheets and stakeholder management.
Key Responsibilities
1. Cost Optimization & Financial Analysis
- Conduct deep-dive analysis of cost structures for heavy-cargo operations and B2B projects
- Identify cost leakage, propose optimization initiatives, and lead implementation in collaboration with relevant teams
- Track and report on cost-saving outcomes for key B2B and Ecom Bulky projects, ensuring KPIs and service quality are maintained
2. Progress Management & Execution Oversight
- Act as the central coordination point between the Operations Director and direct managers across 9 regional hubs & warehouses
- Monitor task and project progress, proactively flagging delays, bottlenecks, or risks before they escalate
- Maintain a structured agenda and tracking system to ensure all workstreams stay on schedule
3. Strategic Project Support
- Participate in planning and execution of priority strategic projects
- Consolidate data, track key metrics, and prepare progress reports for the Operations Director review
- Support digitization and technology deployment projects (e.g., AI camera systems, ERP/WMS rollouts)
4. Information Management & Executive Reporting
- Filter, synthesize, and analyze reports from operational teams before escalating to the Director
- Ensure all communications to leadership are concise, accurate, and include clear recommended actions
- Design meeting agendas and follow-up frameworks to maintain momentum on key initiatives
Requirements
Knowledge
- Strong command of cost structure and P&L within the Logistics or Supply Chain industry
- Understanding of fleet management and B2B transport networks
- Familiarity with bulky/oversized cargo operations is a strong advantage
- Basic understanding of AI applications in operations and technology systems (AI camera tracking, ERP, WMS)
Skills
- Data proficiency: Advanced Excel is required; SQL, Power BI, or Tableau is a significant advantage
- Strong coordination and cross-functional communication skills
- Sharp critical thinking and problem-solving ability — able to identify inefficiencies from operational reports
- Bring solutions, not just problems mindset
Experience
- 3–5 years of experience in Business Analysis, FinOps, Chief of Staff, or Project Management roles
- Must have worked at a large-scale Logistics, E-commerce, or FMCG company
- Demonstrated experience in operational cost management and budget optimization for large B2B projects
- Experience working closely with C-suite leadership during high-growth periods is a strong plus
