This role is designed for someone looking to build well-rounded project management skills in a fast-paced, cross-functional environment — with a clear growth path toward owning projects independently.

Responsibilities

  • Support PMs in building and maintaining detailed project plans, including WBS, timelines, milestones, and dependency tracking.
  • Monitor execution progress across workstreams, flag blockers and risks to the PM in a timely manner.
  • Prepare and maintain key project documentation: meeting minutes, status reports, review decks, action item logs, and retrospective notes.
  • Coordinate scheduling and facilitate recurring project meetings (kick-offs, weekly syncs, retrospectives), ensuring agendas are set and outputs are captured.
  • Manage and maintain project tracking tools (Jira, Confluence, Notion, etc.): create and update tickets, maintain sprint boards, keep documentation organized and up to date.
  • Coordinate with Engineering, Product, Data, Business, and Operations teams to track deliverables and surface blockers early.
  • Assist in managing external vendor or partner communication when projects involve third parties.
  • Contribute to improving project management processes, templates, and ways of working within the team.
  • Over time, take ownership of specific project streams or smaller-scale projects independently.

Requirements

  • 2+ years in a Coordinator, Business Analyst, or supporting PM role at a tech company or organization running digital transformation projects.
  • Understanding of SDLC, APIs, and system concepts; able to follow technical conversations with Engineering teams without getting lost.
  • Tools: Jira, Confluence, Notion, MS Project or equivalent; proficient in Excel or Google Sheets for tracking and reporting.
  • Hands-on experience building basic project plans, managing task lists, and tracking multiple workstreams simultaneously.
  • Clear written and verbal communication; able to synthesize information and work with stakeholders across functions and seniority levels.
  • Proactive, detail-oriented, and accountable; follows up without being asked; stays organized and focused when juggling multiple priorities.
  • Familiarity with Agile/Scrum or hybrid delivery models; experience participating in sprint ceremonies is a plus.
  • Confident in stakeholder-facing interactions — able to consult, advise, and guide stakeholders on project-related decisions, trade-offs, and next steps in a clear and credible manner.
