We are looking for a highly organized and proactive Assistant to Executive to support daily operations, task coordination, and administrative functions. The assistant will work closely with the executive to manage schedules, prepare meetings, arrange travel, and ensure smooth communication between factories and offices. The ideal candidate must be tech-savvy, detail-oriented, and capable of handling multiple tasks efficiently.
Key Responsibilities
1. Administrative & Executive Support
Manage the executive's daily schedule, meetings, and appointments
Prepare and organize meeting agendas, minutes, and follow-up action items
Handle confidential documents and sensitive information with discretion
Maintain email correspondence and assist in drafting reports
2. Communication & Coordination
Act as a key point of contact between the executive, factory teams, and external partners
Ensure clear and timely communication among stakeholders across different locations
Follow up on tasks and projects with relevant departments to provide regular updates
3. Travel & Logistics Management
Plan and book flights, hotels, transportation, and itineraries for business travel
Coordinate travel-related documentation such as visas, work permits, and schedules
Assist in event planning, including off-site meetings and company engagements
4. Task & Project Management
Track progress on ongoing projects, ensuring deadlines and deliverables are met
Use task management tools (e.g., Trello, Asana, Notion) to keep the executive informed
Provide research, data collection, and reports to support decision-making
5. Miscellaneous Errands & Support
Handle personal and professional errands as needed
Assist in procurement and vendor coordination for office-related tasks
Adapt to ad-hoc responsibilities based on business priorities
Qualifications & Requirements
Education & Experience:
Bachelor's degree in Business Administration, Management, or a related field (preferred)
2+ years of experience in an executive assistant, administrative, or coordinator role
Experience in a manufacturing, logistics, or corporate environment is a plus
Skills & Competencies:
Excellent organizational and time management skills
Strong verbal and written communication skills in English & Vietnamese
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and task management software
Ability to handle confidential information with discretion and professionalism
Strong problem-solving skills with a proactive, can-do attitude
Ability to work independently and multitask in a fast-paced environment
Additional Requirements:
Based in Ho Chi Minh City, Vietnam with availability to work on-site
Flexible working hours to accommodate urgent tasks and coordination across time zones
Open to occasional travel to factories/offices if required
