Admin Executive (MOFT)

Position Title: Admin Executive – MOFT (Modern Off Trade)

Function: Sales

Sub-function: Modern Off Trade (MOFT)

Location: HCMC

Purpose of this position:

This position is responsible for providing administrative, reporting and data management support to the MOFT Sales Operations team to ensure accurate execution of sales processes, incentive calculation, master data maintenance and business reporting. The role also supports process improvement through efficient data management, automation and AI-enabled productivity tools where applicable

Key dimensions:

• Accuracy and timeliness of monthly operational reports and incentive calculation.
• Master Data governance, data mapping and data quality management.
• Operational support for Merchandising team, Sales Operations and cross-functional stakeholders.

Key contacts:

• Internal: MOFT Sales Operations Manager, Regional Sales Managers and Sales Supervisors.
• External: Technologies & Analytics (T&A), RGM, and Distributor teams, Merchandising Team, Key Account Managers (KAM) and external service providers (where applicable).

KEY ACCOUNTABILITIES:

• Prepare recurring monthly reports and Monthly Business Review.
• Set up a Field Route Schedule for the Sales Team MCP
• Consolidate packaging requests and verify inventory/sales.
• Consolidate Space Share & Extra Display reports.
• Maintain Master Data and perform Excel mapping/data cleansing.
• Support Merchandiser KPI, incentive and attendance calculation.
• Consolidate working schedules and DMS audit results.
• Improve reporting through advanced Excel and AI tools.
• Support ad-hoc tasks assigned by manager.

KEY REQUIREMENTS:

• Education:Bachelor's degree.
• Industry Experiences:1–3yearsSalesAdmin/Sales Operations/ FMCG preferred.

Position Experiences:

• Language: Vietnamese, English.
• Computer: Advanced Excel (mandatory), PowerPoint, Word, Outlook, Power BI (preferred).

Knowledge/ Skills:

• Advanced Excel, data mapping, Master Data, analytical skills, attention to detail.
• Others requirement: AI skills (ChatGPT /Copilot/Gemini) are a strong advantage
