ROLE PURPOSE

This role will provide administrative and operational support to ensure the smooth functioning of the daily office, and store activities. Contribute to efficient coordination, accurate documentation, and timely execution of administrative processes.

KEY RESPONSIBILITY

1. Administrative Operations

  • Handle day-to-day administrative activities including office supplies, facilities, and vendor coordination.
  • Prepare and maintain administrative records, reports, and correspondence.
  • Support travel arrangements, meeting scheduling, and internal events.

2. Documentation & Compliance

  • Process and monitor payments, invoices, and expense reports.
  • Maintain filing systems, contracts, and documentation in an organized and accessible manner.
  • Ensure compliance with company policies and assist in implementing administrative procedures.
  • Responsible for expat-related documents, including entry visas, work permits, temporary residence cards, and more.

3. Coordination & Support

  • Coordinate with internal departments and external vendors for timely service delivery.
  • Support special projects and perform other duties assigned by management.

4. Other Duties:

  • Perform other related tasks and responsibilities as assigned by management.

MINIMUM REQUIREMENTS

  • Bachelor's degree in Business Administration or related field.
  • Minimum 3 years of experience in administration or office coordination.
  • Fluent in English (both spoken & written)
  • Strong organizational and communication skills.
  • Proficiency in MS Office and document management tools.
  • Detail-oriented, proactive, and reliable team player.

PREFERABLE REQUIREMENTS

  • Background in F&B, retail, or multi-site operations is an advantage.
  • Problem solving and Emotional Intelligence Skill to identify and resolve daily issues in professional ways.

Working time: Monday - Friday

Working location: Green Building, 160 Street B2, An Loi Dong Ward, Thu Duc City, HCMC.
