Primary Duties & Responsibilities
Responsibilities
General Affairs is a functional sub-team of HR Organization, which is Corporate Shared Service providing functional service for all sites of Coherent Corp. (Vietnam). This position is responsible to take lead all of aspects of GA Team for designated site. The basic function of the job includes but not limited to:
- Maintains a positive and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone.
- Ensures proper flow of office procedures and supports by carrying out common office duties for all employees.
- Provides all HR-related administrative supports, included but not limited to company events, activities organizing, business trips, external training course support, etc.
- Administers day-to-day activities of Contractors, namely Cleaning Team, Driver Team, Catering or other teams that are assigned by Line Manager.
- Manages and/or performs all administrative duties in the office and ensure that office is operating smoothly
- Manages payment process for all kinds of services under GA & HR.
- Manages office supplies inventory and places orders as necessary while making sure the office budget is managed effectively
- Develops and maintains a positive and friendly company image by acting as the company first line of contact to visitors, customers, and vendors in person, online, and via telephone.
- Develops and administers office policies and procedures, and ensure they are implemented appropriately
- Assists with office layout planning and office moves, and with managing and maintaining IT infrastructure
- Identifies opportunities for process and office management improvements and designs and implements and manages new the office policies.
- Act as first line of escalation and resolve arise issues/ request and report to Line manager for further advice
- Manages the day-to-day operations of Contractors that are providing services to the company in the scope of work of GA.
- Review vendor performance
- Attend necessary meeting/ training in the scope of work of GA.
- Coordinates with EHS to implement any process or procedure related.
- Make sure the GA operating tasks are compliance with law and company regulations
- Manages and organizes company activities such as company outings, quarterly & annual meeting, Year-end Party, Annual Medical Check-up or any events assigned by HRM and other events.
- Manages in delivering the Company gifts, vouchers, recognition items, etc. to employees
- Manages and allocates resources to support company-wide HR Operations, especially for Talent Acquisition, Training Courses, Total Remuneration and Operations
- Report periodically regarding operation activities, operation expenses to line manager
- Performs assignments/projects/reports assigned by Line Manager or higher position
Education & Experience
- Bachelors Degree in Foreign Languages, Business, Economics, Industrial Management, Law, Social Sciences and Humanities, or equivalent specialization.
- 3+ years of experience in office management or administrative positions such as: Receptionist, HR Admin, General Affairs, Administrative Assistant, Executive Assistant, etc. at a FDI manufacturing environment

- Good at interpersonal, communication and presentation skills and the ability to comprehend and communicate effectively at multiple levels within and outside the organization
- Highly organized multitasker who works well in a fast-paced environment.
- Ability to handle multiple priorities involving external and internal priorities
- Ability to excel in a cross-organizational, cross cultural, global team environment
- Handle special assignments promptly and professionally
Safety Requirements
