About the Role

Lightwave Dental is seeking a Client-Facing Customer Service Representative to serve as

the first point of contact for patients. This role is responsible for making outbound calls,

scheduling dental appointments, and providing exceptional customer service while

ensuring a positive experience for every patient.

The ideal candidate has excellent communication skills, a customer-first mindset, and

enjoys building rapport with patients over the phone. This position requires

professionalism, attention to detail, and the ability to multitask in a fast-paced environment.

Responsibilities

Contact patients by phone to schedule, confirm, and manage dental appointments.

Deliver exceptional customer service during every patient interaction.

Answer patient questions and provide accurate information regarding appointments

and services.

Maintain accurate patient records and appointment schedules.

Communicate professionally, empathetically, and confidently with patients.

Follow scheduling procedures and ensure calendar accuracy.

Resolve basic patient inquiries and escalate complex issues when appropriate.

Collaborate with dental office staff to ensure a seamless patient experience.

Maintain confidentiality and accuracy when handling patient information.

Requirements

4+ years of experience in customer service, call center, patient support, appointment

scheduling, or another client-facing role.

Excellent verbal and written English communication skills with a neutral/minimal

accent.

Strong customer service mentality with a passion for helping others.

Positive, friendly, and professional demeanor.

Strong attention to detail and accuracy.

Proactive, solution-oriented mindset.

Comfortable making outbound phone calls throughout the day.

Excellent organizational and time-management skills.

Ability to build rapport and communicate effectively with patients.

Reliable internet connection and a quiet remote work environment.

Bonus Experience

1+ year of experience working in a dental office or dental support organization.

Experience scheduling appointments in a healthcare environment.

Familiarity with dental practice management software such as Dentrix, Eaglesoft,

Open Dental, or similar platforms.

Experience working with U.S.-based healthcare organizations.

Experience handling a high volume of inbound and outbound patient communications.
