The Transportation Supervisor is responsible for overseeing the day-to-day operations of the VIP transportation services provided to guests. This role involves managing a team of drivers, coordinating transportation schedules, ensuring vehicles are well-maintained, and providing exceptional service to guests. The Transportation Supervisor works closely with the Front Desk Manager to align transportation services with overall guest service objectives and ensure a seamless experience for all visitors.
Duties may include but are not limited to:
- Supervise and coordinate the daily activities of the transportation team, including scheduling and dispatching drivers.
- Monitor driver performance and discipline.
- Coordinate VIP bookings with Rewards Club/ Business Development team.
- Ensure all guest transportation needs are met in a timely and efficient manner, including airport pickups, local transfers, and special event transportation.
- Maintain a high standard of vehicle cleanliness, safety, and maintenance, coordinating with the maintenance department as needed.
- Train, mentor, and monitor the performance of drivers to ensure they provide excellent service and adhere to company policies.
- Handle guest inquiries, requests, and complaints related to transportation services, escalating issues to the Manager when necessary.
- Monitor and manage the transportation budget, ensuring cost-effective use of resources while maintaining service quality.
- Prepare and maintain accurate records of transportation activities, including logs, schedules, maintenance records, and guest feedback.
- Coordinate with other departments, particularly the Rewards Club/ Business Development team, to ensure transportation services are aligned with guest service standards and event schedules.
- Ensure compliance with all local regulations related to transportation services, including vehicle licensing and driver certifications.
- Ensure SOP compliance across all drivers.
- Maintain service quality and brand standards.
- Develop and implement safety protocols for the transportation team to ensure the well-being of guests and colleagues.
- Provide reports to the Front Desk Manager/ Marketing Manager on transportation service performance, guest feedback, and operational efficiency.
- Assist in planning and executing transportation logistics for special events, VIP guests, and high-volume periods.
- Maintain open communication with the Front Desk Manager and other relevant departments to ensure smooth operations.
KEY FUNCTIONS
Transportation/ Operational Coordination:
- Schedule and oversee daily VIP transportation operations, ensuring timely service.
- Liaise with Rewards Club, Business Development, and Dispatch team.
- Monitor real-time trip status and updates.
- Handle last-minute VIP requests, ensure vehicles are ready and available as needed.
- Ensure smooth guest pickup and drop-off experience.
Team Supervision and Training:
- Prepare and manage driver rosters (24/7 shifts).
- Ensure sufficient manpower for peak hours.
- Lead, train, and evaluate the performance of the transportation team.
- Provide coaching, guidance and feedback to drivers; ensure adherence to service standards.
- Enforce grooming and discipline standards.
Vehicle Maintenance and Safety:
- Ensure all vehicles are well-maintained, safe, and compliant with regulations.
- Coordinate with maintenance teams; implement safety protocols.
Guest Service and Satisfaction:
- Handle guest transportation requests and issues, ensuring a positive experience.
- Respond promptly to guest needs; resolve transportation-related complaints.
Budget and Reporting:
- Manage the transportation budget and maintain accurate operational records.
- Monitor expenses; prepare reports for Manager when required.

QUALIFICATIONS INCLUDE THE FOLLOWING:
- 3 - 5 years of experience in transportation or logistics management, preferably in the hospitality or service industry.
- Experience in VIP service or hotel operations preferred.
- Strong leadership skills with experience in team supervision and training.
- Excellent organizational and time management abilities, with the capacity to handle multiple tasks simultaneously.
- Strong communication skills in English; proficiency in other languages like Mandarin, Cantonese, or Korean is advantageous.
- Knowledge of local transportation regulations and safety standards.
- Proficiency in using transportation management software and Microsoft Office Suite.
- A valid driver's license is required; commercial driving experience is a plus.
- Availability to work flexible hours, including evenings, weekends, and holidays.
Able to work under high-pressure VIP service environment.
