Job Description

We are looking for a proactive and detail-oriented Technical Admin Intern to support our Technical Admin team. In this role, you will assist with administrative and reporting tasks, including data entry, invoice checking, document management, strategic research, and regular reporting activities. This is a great opportunity to gain hands-on experience in administration and stakeholder support.

KEY RESPONSIBILITIES

1. Administrative & Data Support

  • Support daily administrative tasks including data entry, updating systems, and maintaining accurate records.
  • Assist in checking and validating invoice information, supporting documents, and related administrative paperwork.
  • Ensure data accuracy and completeness in accordance with internal guidelines.

2. Invoice & Document Management

  • Assist in organizing, filing, and archiving invoices, contracts, and supporting documents (soft copy & hard copy if required).
  • Support the tracking of invoice status and follow up on missing or incomplete information.
  • Maintain a well-structured document storage system to ensure easy retrieval.

3. Reporting Support

  • Support the preparation and consolidation of weekly and monthly reports using predefined templates.
  • Assist in collecting data from multiple sources and ensuring consistency and accuracy.
  • Update tracking files and dashboards as assigned.

4. Strategic Research & Ad-hoc Support

  • Conduct basic research to support technical or administrative initiatives (e.g. process benchmarking, tool comparison, data references).
  • Support ad-hoc administrative and technical tasks as assigned by the team.

5. Internal Communications

  • Coordinate with internal teams to collect required information for reports and documentation.
  • Support communication with stakeholders to clarify data or document-related questions.
  • Assist the team in ensuring tasks are completed on time and aligned with agreed timelines.

JOB QUALIFICATION & EXPERIENCE REQUIRED

1. Qualification

  • Currently pursuing a degree in Business Administration, Finance, Accounting, Engineering Management, or related fields.
  • Strong attention to detail and high level of accuracy in handling data and documents.
  • Good organizational and time management skills.
  • Proficiency in MS Office (Excel, PowerPoint, Word)
  • Ability to work collaboratively and handle multiple tasks
  • Ability to follow processes, checklists, and instructions carefully.

2. Skills

  • Strong written and verbal communication skills.
  • A careful, responsible, and supportive working attitude.
  • Ability to work with numbers, invoices, and structured data.
  • Willingness to learn and support behind-the-scenes technical and administrative work.
  • Ability to work independently while collaborating effectively with the team.
